Appointment Disposition Comment

TriMed introduces a new way to capture and display appointment-related comments to improve clarity and consistency across workflows.

A new Lookup List is available under Admin > Lookup List – Appointment Disposition Comment, allowing admins to define predefined comment options for appointments.

A Comments field has been added below the Status field on the Appointment Chart Item. This field is available for all appointment statuses, allowing users to enter free text or select from predefined comments.

Comments are now displayed alongside their corresponding appointment status in the chart tree, making it easier to review and understand the appointment context at a glance.

Include Booked Slots on Appointment Search

We’ve enhanced the appointment-booking experience to provide greater visibility into a provider’s full schedule during the booking process. Users can view both available and already-booked appointments directly on the booking search screen, eliminating the need to navigate away to check existing schedules.

This supports more informed scheduling decisions, especially for practices with specific workflows or rules around visit types. By having a complete view of the provider’s day in one place, staff can coordinate appointments more efficiently and streamline the booking process.

Adding Contacts to Portal and Registration

Patients can now add and manage their own contacts directly through the patient portal and registration link. This enhancement allows patients to enter relevant contact information in advance, reducing the need for staff to manually enter these details.

By shifting this step to the patient, practices can streamline front-office workflows and expedite the check-in process. This update improves efficiency while ensuring that contact information is captured accurately and conveniently.

Appointment Rules Booking

TriMed Complete introduces a major new upgrade to appointment scheduling: Appointment Rules. This powerful feature allows practices to define and enforce appointment-scheduling rules that are often passed down through oral tradition or handwritten sticky notes on schedulers’ desks. With Appointment Rules, practices gain greater control over scheduling by provider and visit type, helping ensure appointments align with provider capabilities and operational preferences.

With Appointment Rules, users can define conditions that guide or restrict booking behavior, such as limiting certain visit types for specific providers or capping the number of appointments within a defined timeframe. When a rule is triggered, users can choose to display an informational message for staff or enforce a stricter restriction by preventing the appointment from being scheduled.

For example, a rule can be configured to limit ADHD visits for a provider during set hours and display a reminder message to staff about that visit type. Users can also fully restrict booking by enabling the Fatal option in a rule, which disables booking of appointments that violate the rule. Rules can be configured under Admin > Scheduling > Appointment Rules, and the Save As option allows for easy duplication and customization across providers.

To restrict access to booking for a rule, see the below option to grey out the booking option:

CDC Extended BMI-For-Age Growth Charts

We’ve enhanced BMI percentile reporting to incorporate Extended BMI data for children and adolescents, aligning with the CDC's expanded guidance. This update introduces more granular data for higher BMI values, allowing clinicians to better assess and monitor patients with elevated BMI using growth charts.

With this enhancement, higher BMI ranges are represented with greater detail and clarity in the Growth Chart view, supporting more informed clinical evaluation. Growth Charts can be accessed directly from the patient chart using the Growth Chart icon, making it easy to visualize and interpret these updated metrics as part of routine care.

Inactivate Patient Automation

We’ve enhanced the patient inactivation process to better support common administrative workflows within medical practices. When a patient is marked inactive from Patient Details within the chart, a new pop-up now provides guided options to help complete related tasks in a single, streamlined step. To inactivate the patient without additional steps, click the blue 'Mark Inactive Now' button.

Users can apply predefined templates and scenarios to add patient codes, set a future inactivation date, send templated SMS or email communications, notify internal teams, and document the reason for inactivation. These templates can be configured under Admin > Practice Admin > Patient Inactivation Reasons, giving practices flexibility to standardize processes. This update helps ensure important steps are consistently completed while improving efficiency during patient inactivation.

Next Preventative Visit Widget

Keeping patients on track with preventive care has traditionally required staff to manually sift through charge histories, identify applicable well-child CPT codes, and calculate the next-due visit date against AAP guidelines — a process that is both time-intensive and prone to oversight.

TriMed EHR now includes a dedicated Preventive Visit option to streamline this workflow. This option analyzes each patient's charge history and, using milestone and annual visit schedules published by the American Academy of Pediatrics, automatically determines when the patient's next well-child visit is due. When scheduling a well-child appointment, staff may receive an alert if the patient is not yet eligible for their next visit. This option also surfaces visible indicators directly in the workflow when a patient has fallen behind on their preventive schedule, helping clinics proactively close care gaps and keep patients aligned with recommended wellness timelines.

A&P Updates – eRx

Enhancements have been made to the Assessment & Plan (A&P) Control section to streamline the prescription-writing workflow and simplify medication entry. A new New Prescription button has been introduced, allowing users to quickly begin entering a prescription directly from the A&P Control area. The button remains visible even when prescriptions already exist, ensuring users can easily add additional medications as needed.

Additional improvements introduce clearer action controls when managing prescriptions. Users can 'Save' a prescription without refreshing the page or choose 'Save & New' to save the current entry and immediately open a new prescription form. The 'Cancel' option clears all fields without saving, while 'Delete' removes prescriptions that have not yet been signed. Signed prescriptions remain protected from deletion. These updates reduce unnecessary steps and create a more efficient, intuitive prescribing workflow within the patient chart.

Custom Billing Phone Number on Statements

We’ve enhanced statement configuration to allow practices to display a dedicated billing phone number directly on patient statements. Previously, billing contact numbers were limited to those associated with existing entities, such as a company or department, making it difficult to present a specific billing line when needed.

With this update, practices can now include a customized billing phone number on statements, ensuring patients are directed to the appropriate billing contact. This added flexibility helps streamline communication, reduce confusion, and improve the overall patient experience when addressing billing questions. To set up and access this feature, users must have access to Admin → Statement Control / Billing Settings in RCM Admin or PM Setup.

Document Processing Screen and Statement Detail

We’ve enhanced the RCM Admin Statement Details view to provide greater visibility into how and when patient statements are delivered. Previously, it was difficult for administrators to determine whether statements were sent online or in hard copy, which contacts received them, and through which delivery method.

With this update, the statement detail page now includes the following columns: Delivery Type (Online or Hard Copy), Contact Type, Contact Name, Email ID, Email Sent Date/Time, SMS Number, and SMS Sent Date/Time. These additions provide clear insight into who received statements, how they were delivered, and when they were sent. Additionally, when the EHR Statement setting is enabled, hard copy statements are routed to the Document Processing homepage. This enhancement improves transparency, supports better tracking, and streamlines statement management workflows for administrative users.
