New Immunization Interval Rule for Live Vaccines (FluMist, MMR, and Varicella)

TriMed has added a new system rule to ensure proper spacing for live-virus vaccines, including MMR, Varicella, and live influenza (FluMist®). These vaccines may be administered on the same day; however, if given on different days, they must be separated by at least 28 days. If administered before the 28-day interval, the later dose is considered invalid. Please note: the four-day grace period does not apply to the interval between two live-virus vaccines.

Setup Required: To enable this functionality, go to Admin > Immunization > Influenza > FluMist CVX Codes and add the appropriate FluMist CVX codes.

How it Works: If a patient has received FluMist, and an MMR and/or Varicella vaccine is ordered within 28 days, the system will display a note alerting the user, as shown in the example below:

Delete SubNotes

A new 'Delete SubNotes' option is now available under the More icon in a patient note. This feature allows users to remove SubNotes that were added accidentally.

Selecting 'Delete SubNotes' triggers a popup that lists all SubNotes that were added manually via right-click, Note top menu (Add Form or Add Merge), or the 'Quick Add' option.

Users can select one or more SubNotes to delete. Once confirmed, the selected SubNotes and their associated data are permanently removed from the patient note. This action cannot be undone.

The space from a removed SubNote will remain blank and is not automatically adjusted.

All deletions are recorded in the Audit Log, including the Patient Note Control IDs of the deleted SubNotes.

Patient Registration: Baby On The Way

Within RCM Admin > Enterprise > Company, when the 'Show Unknown as option for Sex' option is enabled, a new setting called 'New Patient – Allow to Add Baby on the Way' is now available.

When this setting is enabled in Company settings, a checkbox appears during patient registration. Selecting this option will automatically pull the guarantor’s last name, assign the first name as 'Baby1,' default the gender to 'Unknown,' and leave the date of birth blank. Instead of a date of birth, users will enter a due date.

When the baby is born, the EHR user can update the patient’s information by entering the correct name, date of birth, and gender.

Include Future Dated Chart Items on Chart Items Widget

The Chart Items widget now includes the option to display future-dated items. When the Date Type is set to Item Date, users can specify how many days into the future to show chart items by entering a positive number in the 'Future Items Date Range in Days' field. This setting helps users proactively monitor upcoming documentation or tasks.

Immunization Reports: Include Freetext

Clients can now add custom notes to their Immunization Reports. A new 'Include Freetext' option has been added to Immunization Report Admin, allowing up to 1,000 characters. 

When this feature is enabled and text is entered, the note will appear below the Immunization grid on all enabled Immunization Reports.

Chart Header Widget: Diagnosis History

The new Diagnosis History chart data widget displays unique ICD codes from both patient notes (across all note controls, such as multiselect picker, A&P, Plan Filtered Bluebox, mini referral, and referral smartbox) and Charge History ICDs.

Codes are listed in descending order by last used date, with date range options of 30, 60, 90, 180 days, 1 year, 2 years, 3 years, or All—defaulting to 30 days and persisting for the session. Each ICD entry shows the description, code, usage count (or 'Charge History' if only from Charge History), and last used date; if an ICD appears in both notes and charge history, only the note count is shown. The widget is collapsed by default, but can be expanded, revealing additional details like note date, note name, and provider. Clicking on a note row will open the corresponding patient note in the chart.

Max - Daily per Family

A new dropdown option, ‘Max – Daily per Family,’ has been added under On Scheduling > Patient Appointment Communications > Send Appt Text Message and Send Appt Email > Appt Disposition tab. 

This feature sends an email or text reminder only to the patient with the first appointment of the day in the family when multiple family members have Provider or Resource appointments on the same day.

To use this feature, select the ‘Max – Daily per Family’ option from the dropdown under Scheduling > Patient Appointment Communications > Send Appt Email or Send Appt Text Messages > Appt Disposition tab.

Removing Conversation Entries

Mistakes happen! There are many scenarios where a user may accidentally add an update to the Conversation tab on a chart item and later realize it should be removed. Previously, the only option was to delete the entire chart item. Now, clients can grant specific roles permission to delete individual conversation entries.

In Practice Admin > Practice Settings > Item Reopening, a new option has been added: Allow deleting conversation entries within XX days of the conversation notification sent datetime. By default, this checkbox is unchecked, and the Days field is blank. Administrators can enable the checkbox and set the number of days after the conversation notification for which deletion is allowed.

When enabled, a trash icon will appear next to each conversation entry that falls within the defined timeframe.  Clicking the icon prompts a confirmation window before the entry is deleted.

All deleted notification history is logged under Alter History within the Item Reopening page.

Wait List Indicator on Appt Booking

When scheduling an appointment for a patient already on the wait list, the system will show a Current Wait List section directly on the Book Appointment screen. This allows users to see the patient’s existing wait list entry and confirm or update scheduling details as needed during the booking process.

Check-In: Label Only Option

Check-In Admin has been enhanced to allow clients the ability to mark any Patient or Guarantor Demographic field as 'Label Only.' 

When a field is set to Label Only, it is visible to patients during check-in (via the Check-In link or Receiver App), but they will not be able to edit it.
