'Patient Form' Permission

Previously, the Permission to Add, Modify, Delete, and View Patient Notes included both Patient Notes and Patient Forms. However there are times when a practice does not want non-clinical users to be able to delete patient notes for concern of losing patient data. That said, this also disables the user from being able to remove patient forms that are added accidentally or duplicated in the chart. Now, an additional permission has been added for Patient Forms to allows practices to differentiate the permissions.

Delayed Response Indicators

Oftentimes providers and staff need to quickly see that certain chart items are awaiting a response within the normal response time limits. These delayed items need to be brought to the attention of the staff. For example, if a ‘Same Day Telephone Contact’ has not been responded to within 24 hours, the staff needs to be alerted to take action. The Delayed Response Indicators feature allows staff to quickly see which items are delayed compared to the practice policy. Given that each practice has their own policy, the feature allows rules to be created in a custom fashion.

Not only can items be flagged based on the practice policy, but individual widgets can be set to indicate if any items contained within the widget are outside of the permissible days for the widget. This provides another visual indicator while also affording an administrator the opportunity to only open a widget if the items within the widget are outside of the permissible response times.

Fax Usage Report

Many clients have requested a way to know how many pages they have faxed when using TriMed Faxing. The total sent and received fax page information is now available within the system.

To access this information navigate to Admin> Queue Viewer> Fax Queue. On the right there is a Fax Usage button.

Within the pop up select a date range and choose to view Sent fax totals, Received fax totals, or both then click Run. A PDF report will be generated and can be printed or downloaded and saved.

Quick Notes

*Updated 02.17.2021*

When Quick Notes were first released in TriMed Complete, they were immediately welcomed by many. Just like the name implies, Quick Notes were originally a quick way to add a note to a patient’s chart. Although that aspect of the feature has not changed, the Quick Note chart item has been enhanced to allow a conversation approach where multiple users can communicate back and forth. Using notifications, the Quick Note feature can be used to notify users when a task is sent to them, and the chart item itself will group all updates to the task in one place.

Multiple Users Replying to SMS Messages

When using the Inbound SMS feature there was a reported scenario where if more than one user has a patient message open they would not be notified if another user has sent a message already. Now TriMed has made a change where when a user sends a message and one has been sent by another user within the past 3 minutes, then the system will show a pop up:

Appointment Cancellation and Rescheduling

The EHR now has the same cancellation and rescheduling options as the Practice Management.

When an appointment is cancelled within the EHR a pop up will appear asking for the cancellation reason:

Once the user enters text or chooses one of the cancellation reasons they will be asked if they wish to reschedule the appointment:

If the user clicks Cancel the appointment will be cancelled. If the user clicks OK then they can right click on another appointment slot and click Book. The Book Appointment window will appear with the Patient and Visit Type information defaulted from the previous cancelled appointment.

Users also have the option to cancel an appointment from within the chart on the Appointment chart item.

If the user chooses to reschedule the appointment from within the chart after clicking OK on the Reschedule pop up the New Appointment screen will appear allowing the user to book another appointment for the patient.

The EHR also now has the ability to cancel past appointments.

Immunizations Given with Gvt Insurance as Secondary

According to the CDC guidelines when a patient has both a primary private insurance such as United Healthcare, and Medicaid as secondary then the provider must offer the family a choice of what is the most cost effective for them.

To handle this the EHR will no longer default the Pvt or Gvt radio button when a patient meets this criteria. Users will now see a message on the Schedule, Inventory or Details screen 'unable to default flag given secondary insurance'.
