There are scenarios where a practices likes to send VIS documents on vaccines the patient will be receiving at the next visit.

Within the system the Global Setting should be set to 'Auto send VIS Documents to Patient Portal: Send on Scheduled and Administered'.

Then, within a patient's chart open the Immunization module, select the immunization(s) the patient will be receiving and click 'Schedule'

Within the Schedule Immunization pop up the user can add Notes and select a date for when the patient will receive the vaccine, then click Save.

At this step the VIS documents will be available to the patient in the Portal

The Scheduled vaccine will show in the chart tree. When the patient returns, the user can click the arrow to quickly drop in the vaccine to be administered.

Auto Send VIS Documents to Patient Portal

VIS documents can now be sent to patients via the Portal. To do this a new Global Setting has been added called 'Auto send VIS Documents to Patient Portal' with the following options:

  • Never: When selected the VIS handout(s) will never be sent to the Patient Portal automatically
  • Send on Administered Only: When selected Immunizations are marked 'Administered' then the system will automatically upload the VIS handout(s) to the patient's Portal with a default notification 'You have new items to review on the Portal'.
  • Send of Scheduled and Administered: When selected Immunizations are marked 'Scheduled' OR 'Administered then the system will automatically upload the VIS handout(s) to the patient's Portal with a default notification 'You have new items to review on the Portal'.

When sending the VIS documents to the Portal and the patient does not have a Portal account then the system will send an invite to the Portal.

Advanced Immunization Module

A few enhancements have been made to the Advanced Immunization module to help with vaccine inventory.

  1. The system has logic to set the VFC eligibility dropdown based on patient data. (Click here to review that logic.) If the radio button is set to Government the system will now display a red “VFC Patient” label at the top of the page, and the VFC Eligibility radio button and dropdown label will appear red to notify the user that this vaccine should be pulled from the government stock.

  2. In Admin > Immunizations > Lot Management, the system will now allow the same Lot Number to be entered twice IF the Payor does not match. For example, users can now enter a Lot Number and set it to Private and then also enter the same Lot Number as long as it gets set to Government.

If the same Lot Number is entered into Admin twice (one for Private and one for Government) there is extra validation when logging the vaccine. The user must pass double validation by selecting a checkbox for Private or Government in order to log the vaccine.
