Archived Word Merges

As note templates are updated, the word merges must be updated to accommodate the changes. Using 'Archive Version' allows the system to grab the correct merge based on the note's date.

Within Note Template Admin, click 'Word Merge.' When a merge is ready to be archived, highlight it on the left and click 'Archive Version.' Enter the Note Begin DateTime and Note End DateTime for when the merge was correct for the corresponding note, then click 'Save.' Archived versions can be downloaded and edited as needed.

Access Denied Messages Updated

The system now provides additional details within the 'Access Denied' messages on the Patient Chart, Chart Items, and Admin pages to enhance users' understanding of why they are receiving the message.

On the ‘Chart Maintenance’ page, under the ‘Chart Links’ tab, the system has the options to limit users' access to the Patient Chart: ‘Restrict Access to Patient Chart by Roles,’ ‘Grant Access to Select Users,’ and ‘Grant Access to Restricted Roles.'

Restrict Access to Patient Chart by Roles: Only users within the selected roles will be denied access to this patient's chart. Select one or more roles and click the save icon to save the Access restriction.

The following message is displayed when logged in as a user of the ‘Front Office’ role.

Grant Access to Restricted Roles: A role will appear under 'Grant Access to Restricted Roles' when the following permission is enabled for that role on Admin > Practice Settings > Permissions tab.

Check the roles that can be added to access this patient's chart. In the case below, we selected the role ‘Front Office,' and the roles ‘Manager,' ‘Medical Receptionist,' ‘Billing,' and ‘Nurse’ were not selected.

Log in as a user assigned to the ‘Nurse’ role. Access to the chart is restricted, detailing the reason for the restriction.

Grant Access to Select Users: Access to the patient's chart is restricted to only the selected users.

Log in as a user who is not included in the list above. The following message is displayed.

Permission Restriction—Chart Items: When the user does not have access to a specific chart item, we show the user a detailed message. In the below example, we restricted Add, Modify, Delete, and View access to the ‘Prescription’ chart item for the Front Office role.

When logging in as a user with the role ‘Front Office,’ the following message is displayed. This is a common message that is used on all chart items.

Permission Restriction—Admin, RCM Admin: When the user cannot access the Admin and RCM Admin pages, we now show the user a detailed message. For example, 'Front Office' role users do not have Add/Modify/Delete/View access to ‘Bank Account File Maint.’ in RCM Admin.

The following message is displayed when logging in as a user with the ‘Front Office’ role to access the ‘Bank Account File Maint.’ page.

CCD-A: Adding Advanced Directives, Family History and Mental Status

Advanced Directives

Advanced Directives can be documented in CCD in the following ways: using Advanced Directives from Lookup List (Chart Header) or using fields used on patient notes. When field names are entered in Field 1 and Field 2, the system will pull only the most recent field value from the patient note.

Family History

Family History can be documented in CCD in the following ways: using Family History within the problem list (Chart Header) or using fields used on patient notes. When field names are entered in Field 1 and Field 2, the system will pull only the most recent field value from the patient note.

Note: The system will also pull family history values from the ‘Patient Update Control’ and ‘Patient Update Editor Control’ fields.

Mental Status

We have added a new option under the ‘Miscellaneous’ section to document the Mental Status. Users can enter the note field name here.
