Newborn Tracking Module

We’ve introduced the Newborn Tracking Module to help practices manage follow-up for newborn patients whose insurance information has not yet been provided. This enhancement gives staff a centralized way to track outstanding insurance needs, helping teams stay organized while supporting timely outreach to families.

The module also provides tools to document follow-up activity, including space for staff notes and options to send messages as part of the workflow. By bringing these tasks into one place, the Newborn Tracking Module helps practices improve visibility, streamline communication, and support more efficient insurance follow-up for newborn patients.

Decision Tree

We’ve introduced Decision Tree to help guide staff through patient phone calls using structured questions and response-based outcomes. This feature allows users to document triage details while presenting specific guidance based on the answers provided, helping staff quickly identify appropriate next steps during the call.

By using configurable questions and flags, Phone Triage Notes supports more consistent handling of common call scenarios, such as nurse triage or symptom-related patient concerns. This enhancement helps improve communication, supports faster decision-making, and gives staff a clearer workflow for documenting and responding to patient calls.

Indicate Appointments with Unreconciled Charges

We’ve introduced a new scheduling enhancement that provides greater visibility into the billing and reconciliation status of appointments directly from the schedule view. A new global setting in System Setup > Indicate Appointments with Unreconciled Charges allows practices to visually track where appointments are within the billing workflow using color-coded status indicators.

When enabled, appointment colors will update based on billing activity. A custom color, such as light yellow, indicates no Superbill has been created; another custom color, like light blue, could indicate a Superbill exists but charges have not yet been posted; and grey indicates charges have been posted or the appointment has been manually reconciled. When the setting is disabled, the system follows the standard workflow where appointments marked as 'Kept' immediately display in grey. This enhancement helps practices more easily identify appointments that may still require billing follow-up while improving visibility into reconciliation activity throughout the day.

Schedule TriMed Connect Messages to Send Later

With TriMed Connect, a new Schedule Send option has been added to the New Message screen, allowing users to schedule messages to be sent at a future date and time instead of sending them immediately.

When the user clicks Send, the system will validate that the selected date and time are later than the current date and time. If the scheduled date and time are in the past, users will be prevented from scheduling.

Messages will remain in the Scheduled menu until their scheduled send date and time are reached.

Users can delete a scheduled message before it has been sent by clicking the delete icon in the scheduled menu.

Require Approval for Early Immunization Orders

TriMed Complete introduces a new Standard Preference: “Require approval on immunization ordered before due date.” When enabled, an immunization ordered before the due date or outside the patient's recommended schedule will display a pop-up that must be acknowledged before the order can be completed. This feature reduces the risk of unintended vaccine administration and ensures deliberate clinical decision-making when deviating from standard recommendations.

To enable, navigate to Admin > Standard Preferences > Standard Preferences > Immun/Injection.

In the example below, an MMR and Varicella immunization is ordered for an 8-month-old, even though the minimum age for those vaccines is 12 months.

The Vaccine Warning pop-up will display the earliest available date for each vaccine.

To proceed, users will be required to select the checkbox and click 'Ok.' An optional comment can be entered in the textbox. Clicking 'Cancel' will remove the ordered vaccines.

If immunizations within normal limits were ordered alongside immunizations outside the recommended guidelines, clicking 'Cancel' will only cancel the immunizations outside the recommended guidelines.

The approval is logged as an annotation, which can be viewed under the pin icon.

Required Fields Rule

A new Required Field Rules setup page has been added to Note Template/Patient Form Admin, alongside Checkbox Rules.

This feature allows users to automatically make fields required based on a patient’s response to another field on the form. Instead of manually reviewing forms for missing information, required fields can now change dynamically based on user input, helping ensure all necessary information is collected when appropriate.

Mother's Maiden Name Added to Guarantor Information

TriMed has added a new Mother’s Maiden Name field to the Guarantor Information section for practices that use the Family System.

When the Family System is enabled, users can now enter a mother’s maiden name by going to Patient Details > Guarantor > Guarantor Info. The field accepts up to 30 characters.

Additionally, a setting has been added to Check-in Admin allowing practices to capture this information from parents during the check-in process.

For practices that do not use the Family System, no changes have been made—the field will remain hidden, and the current workflow will continue as usual.

This enhancement provides an additional place to capture important guarantor information for practices that need it, while keeping the interface unchanged for everyone else.

Copy Monthly Schedule Templates Across Months

We’ve made it easier to build recurring schedules with a new Copy From option in Monthly View > Add Template.

After selecting a Provider/Resource and Template, users can now copy matching schedule templates from a previous month into the currently selected month. Select the Month and Year to be copied, and the system will automatically load any matching schedules.

If no matching schedules are found, users will receive the following message: 

“No schedules were found for the selected month and template.”

To help protect their work, users will also be prompted before replacing templates that are already loaded. If a different source month is selected after loading templates, users will see the following message:

“Changing the month will replace the currently loaded templates, and the current changes will not be saved. Do you want to continue?”

  • 'OK' replaces the currently loaded templates with those from the newly selected month.
  • 'Cancel' keeps the existing templates and leaves the previously selected month unchanged.

This enhancement makes it faster and easier to create recurring schedules while helping prevent the accidental loss of unsaved changes.

Pending Documents in Widgets

We've enhanced widget visibility by introducing an Include Pending Documents option for the Unsigned Items, Chart Items, and Practice Widget Review widget types. This new setting gives practices flexibility to determine whether pending documents should be included in widget results, helping teams better monitor document workflows and outstanding tasks.

A new checkbox labeled Include Pending Documents is now available within the widget configuration settings. By default, this option is unchecked, maintaining existing behavior and excluding pending documents from widget results. When enabled, pending documents will be displayed alongside other applicable items within the selected widget. This enhancement provides users more control over document visibility and ensures important pending items can be easily identified and reviewed when needed.

Weight Gain Velocity Z-Scores

We’ve enhanced pediatric growth charting by introducing Weight Gain Velocity Z-Scores, which provide clinicians with additional insight into a child’s rate of weight gain during the first two years of life. While traditional growth charts remain valuable for tracking overall growth patterns, this enhancement adds standardized WHO-based velocity metrics that help clinicians evaluate growth trends between visits and monitor developmental progress more closely.

When enabled in the Growth Chart settings, Velocity Z-Score (Vel Z-score) and Velocity Percentile (Vel Pct) are displayed directly within growth chart tooltips, offering a quick view of weight gain velocity alongside existing growth data. Color-coded indicators help users quickly interpret results, and calculations are automatically applied when appropriate, based on patient age and visit intervals. This enhancement provides a more detailed view of early childhood growth patterns and supports informed clinical decision-making during critical developmental stages.
