Appointment Prep Verify Notes

When users are prepping appointments for future visits there is certain information that needs to be conveyed to the staff that is checking in the patient regarding insurance, forms, etc. Although the Verify Notes have been in the system for some time, they were not very visible when a note was present.

Advanced Immunization Module

A few enhancements have been made to the Advanced Immunization module to help with vaccine inventory.

  1. The system has logic to set the VFC eligibility dropdown based on patient data. (Click here to review that logic.) If the radio button is set to Government the system will now display a red “VFC Patient” label at the top of the page, and the VFC Eligibility radio button and dropdown label will appear red to notify the user that this vaccine should be pulled from the government stock. 


  2. In Admin > Immunizations > Lot Management, the system will now allow the same Lot Number to be entered twice IF the Payor does not match. For example, users can now enter a Lot Number and set it to Private and then also enter the same Lot Number as long as it gets set to Government.

          If the same Lot Number is entered into Admin twice (one for Private and one for Government) there is extra validation when logging the vaccine. The user must pass double validation by selecting a checkbox for Private or Government in order to log the vaccine.

Showing Dosage Templates in Direction Dropdown

When a prescription is selected, in both the Rx Writer and Rx Tool control on a note, that has an associated Dosage Calculator template the system will show the templates above the other directions within the 'Choose Directions' dropdown.

When the user selects a Dosage Template and a weight is present, then the system will automatically apply the calculation to the prescription. If a weight value is not present then the system will automatically open the Dosage Calculator pop up.

'Keep Results' in Chart Find

A new 'Keep Results' checkbox has been added to Chart Find screen. If the checkbox is unchecked then the system will clear the results from the past Chart Find search when the user returns to the Chart Find screen. If the checkbox is checked then the system will keep the results from the previous Chart Find. The system will remember this setting for the user.

Scheduled SMS

When text messages are sent out from the system a patient may reach out to the practice with questions regarding the text. Practices want to make sure that they have someone available to answer questions so the system now has the ability to schedule when texts can be sent out.

Within Global Settings a 'SMS Schedule' option has been added. When a text is sent the system will check the time to see if it is outside the SMS Schedule time. If it is, the text will be held until the schedule start time. 

However, TriMed also recognizes that some texts that cannot wait and need to be sent right away. In order to handle this scenario a checkbox will appear on the screens below if the time is outside the schedule SMS time that says 'It is outside the scheduled SMS window. Check the box to send the text now.'

Patient Portal Account Details Enhancement

In anticipation of some upcoming Patient Portal Enhancements, a few display items have been rearranged. 

The Portal Accounts chart item widget now displays more details about the portal accounts that have been set up for the patient. This widget has always displayed the manager’s name and Last Login date/time. Now the widget will also show if Auto Notifications are enabled, whether or not the account allows email and SMS notifications, and what SMS number and email address are set up on the account. This allows staff to quickly see this information without having to open the Portal tab.

Immunization Lot Management

Using the Lot Management module allows staff to spend less time logging immunization details for given vaccines. When your vaccine inventory is entered into Admin > Lot Management the individual logging the vaccine details will simply select the correct Lot number from the dropdown and then the NDC, Expiration Date, and Manufacturer will auto populate.

This feature has been further enhanced to default the correct Lot number if it is the only one set up in Lot Management for a specific vaccine speeding up the logging process even more.

Rx Refill/Copy Options

For many prescriptions, (especially controlled substances) providers need to write these so that the same prescription is available ## days in the future. Controlled substances cannot be sent with refills, but the physician can send a controlled substance to be filled in the future. 

In order to make this easier for providers there are now multiple options when hovering over the Refill/Copy where the provider a post-date a prescription for the pharmacy to fill in the future. 

Then, when all of the prescriptions are written the provider can select 'eSend & All' and the prescriptions future dated will have an Effective Date as selected by the Refill/Copy option.

Auto Fill Rx Directions

Within Global Settings an option has been added to define how far back the system searches for Auto-Fill directions on a prescription. 

  • If the field is left blank then the system will continue to check the past 2 years as it is currently doing. 
  • If a 0 is entered into the field then the system will no longer check for or add to the Auto-Fill directions. 

Additionally the system is now allowing user to manually add to or delete auto-fill directions while writing a prescription. 

Within the Rx Writer where we show the auto-fill directions there is a delete icon next to each row where the user can exclude the option from showing again. 

Then, if the user adds in their own directions that do not appear in the dropdown, the system will show an Add (+) icon to the right where they can manually add to the auto-fill directions.

DM Web Enhancements

The introduction of the DM Web tab within the EHR allowed users who do not need access to a scanner to view and upload scanned documents and faxes without having to login to the separate Document Manager application. However, over time there were features within Document Manager that were missing from DM Web which prohibited users from being able to fully navigate away from Document Manager. Now TriMed Complete has made changes to include all functionality of the Document Manager except for the ability to actually scan the document in.
