Promo Codes with Membership Plan Restrictions

Get ready to better utilize our promo code feature! You can now restrict promo code usage at the membership plan level and also instantly see which discounts are in use for each member. With this update, you can:

  • Control how promotions are used and applied.
  • Incentivize and promote the sale of specific plans.
  • Easily identify if a member's membership has or had a discount applied to it.

How do I select which membership plans a promo code can be used for?

  • Within the 'discounts' tab, select the 'add discounts' button at the top. NOTE: this will only appear for super admin users.
  • Add promo code details and information as you normally would.
  • Select 'enable promo codes'
  • You will see an additional field appear that's labeled 'Restrict use of this promo code to specific membership purchases' - from here you can select which membership plan(s) this promo code can be applied to.

Points to note:

  • Creation & editing of promo codes is available to super admin users only.

How do I view in use discounts?

  • Navigate to the 'Memberships' tab on the client profile. 
  • A new Discount field will be displayed on the member's membership details which will list:
    • The discount name
    • The discount %
    • How many recurring payments the discount will apply to

New Setting: Limit Upcoming Bookings 📆

We’re excited to announce a new class booking setting! This setting restricts the total number of upcoming bookings a client can hold at any given time, regardless of the timeframe.

What do I need to know?

  • Under your Booking Settings, Admins can activate and set a max number of upcoming bookings e.g. the client can have a max number of 15 bookings at any one time.
  • As the client attends/cancels classes and the number of upcoming bookings decreases, they can book additional classes within the allowed limit.


Key Benefits:

  • Improved access for all clients: By preventing power users from booking all available spots, this setting ensures fair access to classes for all clients
  • Enhanced member retention: By offering more equitable booking opportunities, you can reduce client churn and keep members engaged and satisfied

How is this different to the original max booking setting?

  • Time-Based vs. Total Upcoming Bookings: Our original max booking setting is time-bound (e.g. X number of bookings per week), while this new setting caps the total number of future bookings a client can hold at any moment

You can use both settings in tandem, or choose to use one or the other.

Stop losing revenue to Cart Abandonment

Our latest Amplify workflow, Cart Abandonment, allows you to automatically email leads and clients who have added a membership to their cart while logged into your website but failed to complete the purchase.

Use Cart Abandonment to remind leads why your studio is great, prompt them to complete their purchase, or even ask if there are any barriers or gaps in your sales process that prevented them from completing the purchase initially.


How to use Cart Abandonment:
  • Navigate to the Connect > Messages > Automated messages page
  • Scroll until you see the Cart Abandonment workflow and select it.
  • Customize the workflow with your own messaging.
Cart Abandonment is available for anyone with Amplify. If you're not using Amplify yet, you can try Cart Abandonment as part of an Amplify trial today.

Recurring Classes 🔄: Bulk Cancel and Extended Bookings Now Live

We’re excited to announce that extended bookings for recurring classes and bulk cancel features are now available for restricted memberships. 

For all recurring class bookings, we’ve added a bulk cancel feature that will allow you to cancel one or all bookings for a particular member with the click of a button. Additionally, classes can now be created further into the future when setting up a recurring class booking on a restricted membership to ensure your clients secure their preferred weekly slot.  Both developments should help improve the efficiency of managing schedules for staff and save admin time. 

What does this release include?  

  • The bookings can be made for restricted and unlimited members: 
  • Unlimited memberships – unlimited time into the future. 
  • Restricted memberships – 4 months into the future. 
  • Recurring classes can be canceled individually or in bulk  

How Can I Cancel Recurring Class Bookings? 

  • To cancel all classes within a series for a particular member, simply select the class from the calendar on the Dashboard.  
  • Select the drop down beside the member you want to cancel for under “actions” and select the bulk cancel option ‘This and all following classes’.  Please note that you can only perform a bulk cancel for recurring classes created after 1st May 2024.

How can I set up a Recurring Class Booking?  

  • To set up a recurring class booking, simply click on a class within the Dashboard calendar.  
  • Select “book member” button and search for the member 
  • Select the member, and select the days of the week you would like to schedule for. 
  • Select the end date, and then book.

Automated Tasks and Other Tasks Improvements

We’ve added the ability to automatically create tasks as part of your Amplify workflows. For example, you can automatically create a task for a follow-up phone call for every new lead. Or you could set a reminder for staff when it’s a member’s birthday or their membership is close to expiring. With Automated Tasks it’s easy to create consistent lead and member experiences while reducing your staff’s workload.   

How to Use It: 

  • Navigate to Connect > Messages > Automated messages 
  • Open an automated workflow 
  • Click on "Add new step" 
  • Select "Task" 
  • Specify the task details 
  • Once configured, click "Add to workflow" 

Automated Tasks are available for Elite Customers as well as those with the Amplify add-on. 


Other Tasks improvements: 

  1. Staff Assignment: You can now assign tasks to specific staff members from the task details screen when creating or editing a task 
  1. Overdue Tab: View a list of past-due tasks by accessing the new overdue tab on the Tasks screen 
  1. Today Tab: View a list of tasks with a due date of today 

Manual Task management is available for Platinum, Boost, and Elite customers.

New Audiences for one-off emails

We’ve added 5 new Audience groups for targeting your leads and clients with one-off emails. 

The 5 new groups are: 

  • Former clients - Re-engage with former clients with new promotions and offers 
  • Leads on trial - Target offers to leads that are currently on a free or paid trial 
  • Expired trials - Encourage past trial customers to sign up   
  • Failed payments - Send a friendly reminder to all customers with overdue payments  
  • Low attendance - Incentivize your clients that haven’t visited in over 14 days to return to the studio 

How to use Audiences: 

  • Go to Connect > Messages > One-off emails  
  • Hit the 'Send new email' button  
  • Select one of the audience presets that you would like to use  
  • Create your email and send

Restricted Memberships: Flexible Payments & New Cart

Our newest enhancement to the Glofox platform brings a more efficient and flexible flow for purchasing restricted memberships. Restricted memberships give you more control over the number of classes or appointments that a member can attend at your gym or studio. For example, you could create a restricted membership with 8 class credits to use per month. 

Take advantage of easy to use search capabilities for selecting the right items to purchase, more insight into taxes, discounts, subtotals and totals at checkout, as well as a single receipt for all of a member’s purchases.

What's New?

Our new restricted membership flow makes it possible to purchase restricted memberships in the new cart on the dashboard. As part of this release, users will be able to:

  • Purchase a Restricted Membership in the new cart 
  • Purchase a membership using a flexible payment (ie, alternate between card and cash)
  • Purchase a restricted membership with the POS terminal 

Note: this will not be supported in the old cart 

How to Use It:

  1. Click the Checkout icon on the left side of the Dashboard 

  2.  On the new page, select the client you wish to purchase an item or items for by clicking "Select Client" 

  3. Click select item and select the product/service you wish to purchase for the client. 

  4. If required click select item again to select additional products or services for the client. 

  5. Select the payment method on the right of the page, under the Payment breakdown 

  6. Click "Pay" 

  7. Once the transaction has been completed you can "Close Cart" to return to the Dashboard or start a "New Checkout"

What’s coming next: 

As part of the purchasing flow, we’ll be releasing "gift first period" and the ability to purchase a consecutive membership for restricted membership. We'll also be looking to improve our canceling and scheduling.

Manage Tasks directly in ABC Glofox

Now you can create and manage tasks right in Glofox, without the need for a 3rd party tool. Improve sales productivity and increase conversion rates by ensuring manual follow-ups like calls don’t slip through the cracks. 

How to Use Tasks: 

  • Navigate to the Tasks page from the Home Menu 
  • Use the Add a Task button in the top right 
  • Select existing tasks to view and edit details such as notes or due dates
  • Mark tasks as done once complete

Reporting for One-Off Emails

Understanding how email campaigns resonate with customers is an essential part of iterating and evolving your sales and marketing strategy, to craft the most meaningful messages, and drive your best business results. 

As such, we’re excited to release reporting for one-off emails! 

This enables you to click on a sent message in Connect > Messages > One-off emails and assess key success metrics: 

  • Sent – who was targeted by the email 
  • Delivered – who successfully received the email 
  • Opens and open rate – who opened the email 
  • Clicks and click rate – who clicked on a link within the email 
  • Delivery Failed – who didn’t receive the email 

 
These metrics are shown in respective cards, all of which can be further analyzed by clicking on them, to see the full list of relevant customers, alongside the details for the event. Additionally, you can also:  

  • See a time-series graph of Opened/Clicked over time, to see the evolution of engagement with that email. 
  • Download the full report and download each of the drill-down lists for the metrics 
  • Adjust the time period relevant for the data

It’s worth noting that the report will only display data for newly sent one-off emails, so previously sent messages will be empty.

Fully customize your campaigns with our new email editor

Creating visually appealing email campaigns that align with your brand is essential for getting the best campaign results. Until now, however, the visual customization for emails sent from Glofox was limited to basic text formatting and images.  

As such, we’re excited to release our new drag-and-drop email editor! You can find it by going to Connect > Messages > One-off emails.

This editor radically enhances the customization capabilities available, including: 

  • Full layout customization 
  • In-depth text, color, spacing, and positioning formatting 
  • Easy image uploader, with a built-in image editor 
  • Integrated royalty-free image database  
  • Video embedder 
  • Call to action buttons 
  • Social links 
  • And much more! 


Additionally, we have four preset email templates that you can leverage so you don’t have to start from scratch!

Currently, the new editor is available on one-off emails and we'll be expanding it to emails from automated workflows too, so stay tuned for updates there.
