New version of the Programme Section

New Version of the Programme and the Gantt Chart View is now available under Project-> Programme. This version allows you to track the tasks on your projects, in relationship with the resources you have assigned (be it Employees or Assets). It also allows you to view the percentage of the task completed, expand on the tasks and have better visuals on your team’s schedule.

Types of users access visible on Company List

Archdesk can visually help you see the users of your system and the type of access they have.
Under Company, go to Employees. You will see the following types of accesses:
1) Normal - full access of the system feature, access depending of the department structure the person is under.
2) Mobile Only - the access is only for the Mobile App users. Limited access of system features.
3) No Access - absolutely no access to Archdesk.

Archdesk-Xero integration activation token

Starting today, the integration activation token no longer expires after 30 mins. The connection between the 2 systems will remain as long as you will see the status as “Active”. IF the status is not active, please go to Xero > Settings > Connected Apps > Click on the 3 dots next to Archdesk > Disconnect. Then go inside Archdesk and Activate the connection

Reverse Charge changes to Xero Integration

A new change has been applied to the Xero Integration in Archdesk. Now, when Integrating with Xero, you will also have the possibility to match the VAT tax levels between Archdesk and Xero. This comes as an effect of introducing the Reverse VAT in the UK (as of 1st March 2021). 

You will be able to select the VAT tax levels separately for Purchase and Sales Invoices from the drop-down menu next to each level.

Once these have been selected on the first activation, they will be remembered for the next integrations.

Changes in Forms

A few new changes have been applied to the Forms in Archdesk. 

  1. UX Improvement: You can access forms submissions instantly from the same view as answers.
  2. We added the possibility to define forms on the level of process stages. Use case example: You can block a process stage until a form submission is approved. 
  3. Possibility to define forms on project programme task. Each task will have forms accessible. (The UI might change for this one soon). These forms will especially be used from mobile application in the future by being submitted from the site. Example use case: Every task, apart from just being marked as 100%, must also have a certificate of completion submitted. It must be signed by the project manager. With this functionality we can provide a report of all tasks that are 100% completed as allegedly stated by the site worker, but without a certification, are not yet completed by the company standard and a follow up action is required.

New Options to create Purchase Orders from Quotation

When you are creating a Purchase Order from the Quote Level you can now select either the entire section(s) or selected items within a section or a combination. 

Go to quote and to the desired level where you want to create the PO. 

Select Sections and/or single items

Go to the Details level -> Financial -> Create a PO -> Select entire sections by checking the checkbox or go into the section to mark the selected items. Only checked lines will be taken into the PO. 

Select single items 

Go to the Section level -> Financial -> Create a PO -> Select items

Create a PO for one item only

Go to the Section -> Item -> Three dots on the right -> Create a PO

New Data Tables View in Archdesk

New Data Tables Views are soon coming to Archdesk. The view on certain lists will be changing to allow for more flexibility and customisation. You will be able to save your views, filter and sort by different criteria as well as extend the view by adding more columns. Don't hesitate to contact us at support@archdesk.com if you have any questions. 

You can save your view by right-clicking on the list.

When the change is deployed, go to the List Options and autosize the columns first. Then adjust your view.

You have the ability to right-click on the list view and save columns state for everyone. This action will OVERWRITE their own view if they set up one previously.

As an admin you can also export any view to CSV or Excel.

From the last system update you are able to decide if you want to allow the tender participants to modify the Quantity and/or Prices on the tender submission package.

Domestic Reverse Charge

With regard to the Reverse VAT Charge coming in for the Construction Industry on 1st March 2021, your company will need to add a new Tax Rate(s) into the system under "Reverse VAT". This VAT shall apply to any services/products delivered to another contractor who is CIS registered.
