Multiple tender awardees

Exciting news in our Tender module! We've added features to make comparing participant offers a breeze:

  1. Analyze Offers: A new screen lets you see all the essential data in one place.
  2. Choose Winners easily: Pick a winner for each tender item separately.
  3. Multiple Purchase Orders: Create multiple Purchase Orders effortlessly from your tender.

Make your tendering process smarter and your decisions easier. 

Analyze Offers screen shows an overview of tender items and participant offers. The second table breaks down evaluation criteria values, providing a modern, user-friendly interface for quick decision-making. Option Choose awardees allows awardees selection and enter additional data for each participant item offer. Users can designate a winner for each tender item separately and there’s no limit of awardees for the entire tender. This marks a pivotal departure from the previous Archdesk capabilities, which restricted users to selecting just one winner per tender.

Scheduler & Timesheets remarks

After the successful implementation and transition, we decided to put a timeline on switching off the old Scheduler and Timesheets module. The Old Scheduler module will be turned off on 29/03/2024; while there’s no specific date for the Timesheets module, it will probably happen in 2024.Q2.

We encourage you to use Scheduler Pro and Timesheets Pro, which provide enhanced functionalities and an improved user interface.

Filter tasks by discipline on Scheduler Pro

Now, it’s possible to filter tasks by task discipline using a dedicated search option on the top bar.

Discipline is task’s attribute that can be updated in task edit.

Update cost/price values for Quote items added from Catalogue

We added the possibility of updating prices and input values for Quote’s items added from the Catalogue. This is beneficial when item Unit Cost/Unit Price are updated in Stock after adding the item to the Quote, and the user wants to use the latest values on the Quote. It’s also possible to update item input values using the same pattern.

Business case:

  1. Quote #1 was created in 2022, item “Project Manager” was added from Catalogue with a Unit Net Cost of £1000.
  2. In 2023, product “Project Manager” gets updated by user in Catalogue and new Unit Cost is £1500.
  3. Quote #1 was duplicated into Quote #2 in 2024. Originally there was item Unit Net Cost of £1000, however the new functionality allows to update all items’ (added from Stock) prices. So the new rate of £1500 for item “Project Manager” is applied for Quote #2 automatically.

Create new project/edit project - redesign

Our new UI for project creation/edition has been completely redesigned to offer a more intuitive and user-friendly experience. Inputs are now grouped into easily navigable sections, aided by a convenient left menu for swift-form navigation. Plus, you can view the number of required fields in each section and collapse or expand those sections. 

The new layout is available from three locations:

  • Projects → Create New Project
  • [select project] → Edit project
  • [shortcuts] → Create Project (for this flow, the left menu with sections is not available)

Timesheets Pro improvements

A weekly Timesheets view is now available for company-wide Timesheets! 

To add/edit timesheet records in weekly view, go to Company → Timesheets Pro → Add Time in Bulk. Select an employee for whom you want to report time from the autocomplete list in the Employee field.

Download multiple project documents in batch to .zip

Downloading multiple project documents just got easier! You can now select multiple files or entire folders and download them as compressed .zip file. Say goodbye to the hassle of downloading each file separately and save valuable time. 

Archdesk names to the downloaded .zip file, which is, e.g. project_2791-7ewqtn_06-12-2023-11-04.zip where file name structure is: project_[project.reference]_DD-MM-YYYY-HH-MM, where mentioned date time is a timestamp of download operation.

To download project documents in a batch, select a project and go to Documents → select multiple documents by checkbox and hit Download.

Flexible Quote Valuations

You can now create multiple valuations in 'draft' or 'in progress' status, regardless of pending approvals. The financial valuation values are recalculated when valuations are updated; for example, changes on the first valuation are respected on the second or third valuations. 

There are also new fields at the item level in the valuation preview: Previously Delivered Quantity, Total Completion (name changed from Completion), Current Completion.

Total Completion and Previously Delivered Quantity are recalculated when Valuation (independent from valuation status) is edited/deleted and quantity is changed for an item. Both inputs are recalculated for the edited valuation and for every subsequent valuation to the edited one. 

To create a Quote Valuation, select a quote → Payments → “+” button → Add Valuation Report. If you cannot see this button, go to Options → Import New Payment Terms and select Valuation from the list.

New Payment Terms report for Quote Valuations

If you work with multiple open valuations at once, downloading a report containing delivery progress from all of them together may be beneficial. 

Such a report is available under Payments → Options → Download Payment Terms → Full PDF Preview including pending and approved data. This report includes all valuations that are approved or in progress.

Allow to mark Quote Valuation delivery on sub-items

If you are working on quote sub-items that are visible to the client, it's possible to mark valuation delivery on sub-items instead of entering the figures on main items. Optionally, sub-items can be hidden by selecting a dedicated checkbox.  

When creating/editing a valuation, you can fill in delivered value at a main item or sub-items level, but it is essential to keep the same strategy for specific item:

  • If it’s entered for sub-items → Archdesk calculates delivered value for main item as a sum of sub-items delivered values,
  • If it’s entered for main item → Archdesk keeps delivered value entered for main item and doesn’t calculate values at sub-items level.
  • If both main and sub-items have values, sub-item values take priority.

To create a Quote Valuation, select a quote → Payments → “+” button → Add Valuation Report. If you cannot see this button, go to Options → Import New Payment Terms and select Valuation from the list.
