Stock Formulas Import/Export

Easily manage your Stock formulas with the new Excel import/export feature! Now, you can add, update, or delete product formulas in bulk, making setting up large Stock lists quicker.

How it works?

Use the new “Formulas” tab in the Stock Excel template to define relationships between Sub-products and Main-products by their references. You can specify the Quantity and Per-unit values for each connection, giving you full control over product combinations:

  • Create new formulas by adding entries in the Formulas tab.
  • Update existing formulas by modifying Quantity or Per values.
  • Delete formulas by setting Quantity to 0.
  • Export formulas to view or adjust existing configurations.

⚙️ Permissions: Available for users with the Access formula permission.

New E-mail notifications

Stay informed with our new email notifications for To-dos and Projects. Receive real-time updates directly in your inbox, helping you keep track of important changes and monitor your tasks and project progress.

To-do notifications - you’ll receive an e-mail when:

  • You're assigned a new To-do,
  • A To-do you’re assigned to is cancelled,
  • A To-do you created is completed.

Project notifications are turned off by default but can be activated upon request. For example, you can set up e-mail notifications to keep the Project Manager informed when a specific stage is completed or notify the Construction Director when the Sales Department hands over a project.

Project Document available for Quotes

Now, you can link project documents directly to Quotes and specific items, giving you a clear view of all required documentation in one place. First, upload the necessary documents to the project’s Documents module, then select and assign them to the appropriate Quote items.

For example, if your Quote (which may represent a Bill of Quantities) includes items needing technical documentation approval, you can connect those documents directly to the relevant items. This ensures that all approvals are completed before moving forward, keeping your projects on track.

Quote Variations inputs calculations

Now, it is possible to calculate input values for variations and variation items based on the other criteria, just like in Quotes. This alignment between the two modules helps keep your data accurate and up-to-date, making it easier to track changes in costs, quantities, or other key metrics directly within your variations.

Examples:

1. Calculate Quantity Change based on new values of Width and Length at variation item:

2. Calculate custom input Labour Cost Change at variation as a sum of Net Cost Change from variation items:

To learn more about Variations, check the original release notes for Quote Variations and the page with improvements.

⚠ To enable variations on your quotes, please contact Archdesk Support Team.

Additional actions on task preview

Now, you can add expenses or register risks directly from the task preview. The refreshed task preview is simpler and more flexible than before, making it easier to find the information you need and take quick action.

With these updates, the Programme view becomes an even more powerful tool, offering a more intuitive way to manage tasks compared to the Schedule view.

Scheduling tasks updates

We added a couple of improvements for scheduling tasks that allow for more automation and flexibility when working on the project programme. Thanks to that, we are competitive in the market with a robust Scheduling module.

Auto-scheduling

In a previous release, we introduced automatic task scheduling for the Project Programme

Now, we’ve made it even better. Handling conflicts between dependencies and constraints is simpler. For example, if the task “Structural steel beams” is supposed to start on 10/10/2024 but is delayed because the “Concrete foundation” task isn’t finished, you’ll see a prompt with options to resolve the issue. You can either adjust the constraint or remove the dependency, giving you more control and flexibility in managing your schedule.

Project Start date

The Project Start Date is a fixed value that determines the timeline for all tasks. When you modify the Project Start Date, all task dates adjust automatically, making it easier to manage changes and maintain automatic constraints.

Additionally, you can enable Project lines on the Gantt preview by going to Settings → Project Lines. This will display both the defined Project Start Date and the Project End Date, which is calculated as the end date of the last programme task.

Critical path

Every task is important, but only some of them are critical. The critical path is a chain of linked tasks directly affecting the project’s finish date. If any task on the critical path is late, the whole project is late.

Task completion visible on the Project Budget

We’ve introduced a new input called Schedule Completion in the Budget module. It calculates the average completion of all tasks linked to each Budget Code. This helps you better estimate the remaining work and completed tasks, ensuring more accurate budget tracking.

To use this feature, simply assign the relevant Budget Code to each task on the Project Programme, and the completion percentage will be reflected in the Budget module.

Stock Changes Improvements

Global Stock Changes view

We’ve introduced a new dedicated screen for Stock Changes, bringing all product movements together. This view includes columns that show the quantity of each product in stock after each action, making it a powerful tool for tracking changes and generating accurate reports.

Now, you can easily monitor stock levels and adjustments, helping you stay on top of inventory management.

⚙️ Permissions: Available for users with the Product Stock permission.

Product Changes view

We’ve also enhanced the Stock Changes view for individual Stock Products, displaying changes in a detailed table where you can see related projects, tasks, and stock adjustments. The table is easy to sort and filter, making it simpler to focus on the specific changes you need.

Stock Releases

You can now deduct multiple products from Stock in a single batch!

We are introducing a new feature called 'Stock Release,' which enables warehouse workers to easily see products that need to be released. They can now release these products based on Quote items linked to specific project tasks. This feature improves Stock management and speeds up your work by allowing you to manage stock directly from the linked task.

To start working with Stock Releases, make sure that:

  • Quote items are added from the Catalogue,
  • Quote items have been assigned Project Task,

How to Release Stock?

1. Open the Programme task and navigate to the “Items” tab to see related quote items.

2. Click on “Release Stock” to create a new release. Only Catalogue items assigned to the Project Task will be displayed.

3. Select items and confirm to proceed. If needed, you can modify the Quantity to Release.

4. After that:

a. If there’s enough stock available, you will see a confirmation message: “Stock was released successfully.” → Stock change “Deducted” is created for all selected items with a quantity greater than 0.

b. If there’s not enough stock available, you will see a message: “You have requested too large Quantity to Release for one or more Quote Items: ''” → No stock change is created.

5. To find product changes related to certain Stock Releases or Project Tasks, go to Stock → Changes and filter rows by Project Task or Stock Release Reference.

Note: Additionally, two new columns have been added for Quote items:

  • Stock Released Quantity - Shows the amount of stock already released.
  • Remaining Quantity to Release - Displays the amount still to be released. It’s calculated as Item Quantity - Stock Released Quantity.

The system automatically selects the warehouse from which stock is deducted. If one warehouse doesn’t have enough stock, the system will automatically pull from others

Export all Time Sheets by CSV exporter

A new CSV exported for Timesheets has been added at the company and employee levels. To use it, go to:

  • Schedule → Time Sheet Pro → Export → Timesheet Records
  • Company → Employee → Time Sheet Pro → Export → Timesheet Records

This report is slightly different from the standard CSV export. It pulls out each timesheet record into a separate row. When you export the data, it’s possible to specify the time range for the timesheet in the same way as for the other reports.
