Filters for Categories and Invoices for Expenses

Update Stock Product details based on the Purchase Order

Managing stock just got simpler. Archdesk can now update Product Stock Details like Unit Costs and Supplier information directly from Purchase Orders. This eliminates manual updates, ensuring stock records stay accurate and aligned with real-world procurement.

What’s New?

  1. Automatic Stock Updates:

    • Unit Costs and Supplier details for Stock Products are updated automatically based on the linked Purchase Order.
  2. Location-Based Stock Adjustments:

    • Stock changes, such as checking, reserving, or deducting quantities, are now tied to the location listed in the Purchase Order.
    • This ensures adjustments are made from the correct location every time.

Why It Matters:

  • Automation saves time and reduces manual errors.
  • Location-specific adjustments give you precise control over inventory management.

Project criteria for PO Amendments and PO Valuations list widgets

You can now set project-specific criteria for the Purchase Order Amendments and Purchase Order Valuations list widgets. For example, you can configure the lists to show only data relevant to a specific Project Manager.

How to Configure:

  • Go to Add Widgets → Purchasing → Purchase Order’s Amendments List or Purchase Order’s Valuation List.
  • Define the Project Criteria to filter the data displayed.

Updated column name in Create Purchase Order from Quote View

We’ve updated the column name from ‘Quantity’ to ‘Quantity to Purchase’ in the Create Purchase Order from the Quote view.

This change improves clarity and helps users better understand the required data input.

You can find this view under the path: Quote → Financial → Create Purchase Order.

Display the Contact address on the Contact Input selection dropdown

We’ve enhanced the Contact Input dropdowns to make selecting the correct contact easier and more accurate across Archdesk modules.

This update helps you quickly identify contacts with similar names but from different locations, reducing errors when selecting suppliers or clients - especially useful for companies with multiple branches or subsidiaries.

What’s New?

The modal now displays additional details next to the contact name:

1. For Business Contacts:

- Company Address (City, Postcode, Country), Company Telephone and Company Email are displayed.

2. For Individual Contacts:

- The first address assigned to the contact is displayed, along with Telephone and Email (if available).

3. Access Rights:

- Fields like Address, Email, or Telephone are only visible if the user has the required access rights.

Where It’s Available:

  • Quotes (Client)
  • Custom contact type fields in any Archdesk module

Other Notes:

  • Contacts without company details will still be displayed in the original format (e.g., - ).
  • Other address types (e.g., Home, Site, Billing) and private email/telephone details are excluded for business contacts.

Create negative Expenses for Purchase Credit Notes

We’ve improved the handling of Purchase Credit Notes in Archdesk by introducing the ability to quickly create related negative expenses directly from the Credit Note preview.

What’s New?

  • When a Purchase Credit Note is approved and linked to a project, and no expenses have been created, a blue bar notification appears at the top of the Credit Note preview.
  • Clicking on this bar allows you to create an expense related to a Purchase Credit Note, similar to the current process for Purchase Invoices.
  • Expense details are pre-filled but can be adjusted as needed. By default, the description field includes the reference to the Purchase Credit Note.

Additionally:

  • For Purchase Invoices, we’ve updated the default description of expenses. Instead of using the first item from the invoice, it now defaults to the format Purchase Invoice .

⚙️ Permissions: Available for users with the Create Project Expenses permission.

Create Purchase Order Valuation in the system

You can now create and manage Purchase Order Valuations directly in Archdesk without needing Excel files. This makes it faster and easier to track delivered quantities and manage valuations for your Purchase Orders.


How to Use It:

  1. Go to the Purchase Order Valuations list.
  2. Select File → Create New Valuation or Create Valuation → Create New Valuation.
  3. Enter details like Start Date, End Date, and Purchaser Assessment or Purchaser Note.
  4. Archdesk will calculate values like Delivered Value and Completion automatically.
  5. To edit valuations, use inline editing or Excel import/export.

Track Expenses on Project Budget

Expenses, including those from timesheets and other project costs, are now included in the Project Budget. This gives project managers a better view of actual spending compared to planned budgets.

How to Use It:

  1. Fill in the Project Budget input when manually creating a new project expense.
  2. For timesheet-related expenses, ensure the project task has a Project Budget assigned.
  3. If these conditions are met, newly created timesheet-related expenses will appear in the Project Budget.
