Batch Edit and sub-items Toggle for Quote Items

The new Batch Edit feature makes it easier to update multiple quote items at once, saving time and reducing manual work.

  • Drag to copy values across cells or generate numeric sequences.
  • Data can also be copied and pasted from Excel while maintaining formatting and data types.
  • Edits apply only to visible rows and columns, ensuring clarity and precision.


Additionally, you can now expand or collapse sub-items in the Quotes and Quote Variations views using a new toggle:

  • Sub-items are shown by default but can be collapsed for a cleaner view.
  • Your preferences are saved and persist across sessions.

New capabilities for Forms

We’re excited to introduce the new Forms Builder in Archdesk, designed to make forms more powerful, intuitive, and adaptable. This revamped tool unlocks new possibilities for creating, managing, and using forms across all your projects.

What’s New?

  • Widget Types:

    • Checkbox inputs for quick true/false or yes/no responses.
    • Conditional Inputs: Dynamically display additional fields based on the values of other inputs. All widgets are initially visible, but you can customize their visibility logic for smarter, more tailored forms.
    • Rich content fields with labels to organize and present information clearly.
    • Customize text with font options, including styles, sizes, and alignment, for a polished look.
  • Responsive Layouts:

    • Forms now automatically resize to fit desktop and mobile screens, eliminating the need for separate configurations.
  • Forms Versioning:

    • Keep a complete history of form versions while introducing updates, ensuring all previous submissions remain intact.
    • Maintain consistent input IDs to simplify workflow and template configurations for admins.


ℹ️ Transition to the New Forms Builder

Forms created with the previous builder will not be updated automatically. To take advantage of these new capabilities, you’ll need to transition your existing forms to the new builder. While this requires some initial effort, the enhanced features and improved performance make it a worthwhile upgrade.

Download Submitted Forms as PDF

You can now download submitted forms as PDF files directly from the form submission preview.

How to Use It

  • Open the form submission preview.
  • Go to View → Download PDF to generate and save a PDF version of the submission.

ℹ️ Note: This feature is available only for forms created with the new Forms Builder. Forms created with the previous builder are not supported. For more details, see the New Forms Builder Announcement.

Improvements to Quote-related Programme Tasks

When using programmes created directly from your quotes (Quote → Schedule → Create Programme), approved Quote Variation items are now automatically added to related Project Programmes, ensuring no tasks are overlooked.

What’s New?

  • Task Creation: New tasks are generated based on Quote Variation items and organized into the appropriate programme groups.
  • Improved Notifications: The notification log now includes more detailed information about changes to programme tasks.

It’s also possible to set criteria for which quote items are turned into programme tasks. This ensures only relevant items are included, keeping your schedule focused and manageable. These criteria can be configured by your Archdesk Administrator.

Moreover, we’re continuously improving the Project Programme module to enhance usability and functionality, and we encourage you to make it your primary tool over the Project Schedule.

Users can now export individual PO Valuations as PDFs, which provide a professional, shareable, and printable document.

  • Navigate to Purchase Orders → [Select PO] → Valuation View → Download PDF.

Access Rights for Meetings

Meetings in the Scheduler module can now be marked as Private or Public.

  • Private meetings: Visible only to the Creator and Assignees.
  • Public meetings: Visible to all users with appropriate access rights.
  • All existing meetings remain Private by default, BUT all next meetings by default will become Public unless you mark them private

Incoming Payment Sync from Xero to Archdesk

Incoming payment data from Xero can now sync to Archdesk, improving financial tracking and integration.

  • Payments for Purchase and Sales Invoices are now synchronized.
  • Project-related invoices can be project references to Xero for better allocation.

Note: We are also working on a similar integration for payments from QuickBooks and will keep you updated on our progress.

Display new items in PO Amendment edit mode

This update resolves an issue where newly added items in Purchase Order Amendments were not visible during the edit process for the same amendment. The fix ensures these items are displayed consistently across all relevant steps in the Amendment Edit mode.

Step 1: Add new items to the PO Amendment in ‘Add new Items’ and save it (PO AME is created).

Step 2: Edit PO Amendment (File → Edit)

PREVIOUSLY:
Newly added items (Step 1) are NOT displayed on ‘Add new Items’ or ‘Changes to existing items’, so the user cannot modify them.
NOW:
Newly added items are now displayed in the 'Changes to existing items', so users can modify them when needed.

Default Project Currency for manual Project Expenses

Adding project expenses is now simpler and faster.

When creating an expense manually (Project → Expenses → Add Expense), the currency field will automatically default to the project’s assigned currency.

This automation saves time, ensures accuracy, and keeps expenses aligned with the project’s financial details.
