Tender Participant Offers converted to Tender Currency

Now, comparing offers in different currencies is easier!

Archdesk automatically converts tender participant offers to tender base currency from their original offer currency. This ensures consistent comparisons and accurate calculations.

When uploading the offer in Excel, change the Currency field using the appropriate currency code (e.g., GBP, USD, EUR, PLN, NGN, AED, SAR, CAD).

  • You can view all converted values on the Tender Offer Analysis screen, allowing you to compare offers consistently and accurately regardless of currency.
  • If needed, toggle to see values in the original offer currency to verify the initial amounts submitted.

ℹ️ By default, the system uses flexible exchange rates, which automatically sync daily based on market rates. If you want to set up fixed-exchange rates instead, please contact the Archdesk Support Team.

Form PDF Attachment in Submission Emails

Easily keep records of all your form submissions.

Every time a form is submitted (whether via workflow or UI), the system will automatically attach a PDF copy of the form data to the confirmation email. This also applies to existing templates created with the Form PRO module.

  • Automatically included for all form submission emails.
  • PDF attachments are enabled by default for existing templates.
  • Old forms do not support this feature.

Expanded View for Quote URL

Make your quotes easier to read and share!

You can now generate an external URL for your Quote where all sections and items are expanded by default. This view makes it easy to see the entire quote content without collapsing any sections.

  • Configure the setting under Quote Settings → Section Display Preference.
  • Choose Sections and Items Expanded View to enable it.
  • Note: This setting does not affect the PDF view, which remains unchanged.

Customizable Date Formats Based on Locale

No more adjusting date formats manually! Archdesk now automatically adapts dates and times based on your selected language, ensuring they match regional standards across the platform.

  • Works seamlessly in the UI, exports (PDF, Excel), imports, and email templates
  • Eliminates formatting issues and reduces errors
  • Set your locale once, and Archdesk handles the rest!

Why it matters?

  • The system applies the appropriate locale settings based on the company's country.
  • Supported locales: English (Canada, UK, US), French, German, Polish, Slovak.
  • For regions not yet supported, the UK date format will be used as the default to maintain consistency.

This improvement ensures that users see dates in their familiar format (e.g., MM/DD/YYYY for the US, DD/MM/YYYY for the UK) without manually adjusting settings.

One Tender from Multiple Quotes

Business Background

This improvement allows you to send a Request for Price (RFP) for multiple Bills of Quantities (BoQ) within a single Tender. This ensures that all tender participants remain the same and receive the full scope of all BoQs for pricing, improving compliance and consistency.

Key improvements:

  • All quotes must belong to the same project and use the same currency.
  • Select and add items from multiple quotes to one tender.

⚠ Note: While you can combine items from multiple quotes into a single tender, creating a Purchase Order from the tender is impossible if the selected items come from different quotes. To generate a PO, ensure all chosen tender items originate from the same quote.

To improve tender monitoring at both the company and project levels, we have expanded the availability of Tender-related widgets across dashboards.

Key improvements:

  • New Tender Counters provide a quick overview of tender activity at a glance.
  • Additional widgets - Tender List, Tender Amounts Grouped by Date, and Sum Tender Amounts - can now be used on Project and Contact Dashboards.
  • Tender Forms Submissions widgets are now available on Global and Project Dashboards for easier access.

These updates give you greater visibility into your tenders, ensuring better tracking and reporting directly from your dashboards.
