We'll be releasing some improvements for the Workflow Status functionality in documents to help make it more clear and readable for users.  These updates will be deployed early next week so we wanted to make you all aware of what's changing.

The updates for Workflow Status in a document are the following:

• Actions in the Workflow Status tracker will display in a new order (newest to oldest)
• The Workflow Status tracker will automatically highlight and scroll down to the current actions when opened
• You will be able to collapse or expand workflow actions at each step to display additional details
• Users will be able to expand or collapse all items in the workflow status tracker from the 'View' menu
• Users will be able to hide future workflow actions from the 'View' menu
• Users will always see the Workflow Status tracker, even from documents that didn't have any configured workflow

These updates also include a new Workflow Settings option of 'Disallow non-admins to view workflow status page'.  

By default, if a user (non-admin) has access to view documents in the Documents List via Conditional Permissions they would also have access to view the Workflow Status for the document.  If you don't want them to have the ability to view the Workflow Status then you can toggle on this configuration option.

We've made the below improvements to the Views functionality in the Document List:

• Reversed the order of saved views with the newest on top instead of on bottom (note: this will impact all existing saved views).
• Show "Unsaved View" as an item in the views list until the current updated view is saved.

Often when sharing app or product data with another form you want to filter the results available to the end users in the lookup - now you can!  

Now within the advanced Data Lookup (List) and Data Lookup (Multiselect) gadgets for Kuali data sets you'll have an Advanced Settings option. The Advanced Settings allows you to put additional lookup filtering to limit lookup values based on certain criteria from the available data (i.e. Workflow status, Multiple choice, Date picker, etc.).  For example, in the below example I'm setting the data lookup filter to only return documents in the app that have a Workflow Status of 'Complete':

Also, if versioning is enabled you'll have additional filtering options based on versions - more information can be found in the Document Versions article.

• With the Workflow Tracker Redesign you can now view the Workflow tracker and document details at the same time! This update is the first step of our Document History project.  There are other exciting features coming including the ability to track Notifications sent from the workflow system. More will be coming to this space soon!

• We've added a search function when linking a Data Lookup gadget to one of your institution's integrations. It will now be much easier to manage large Integration libraries you want to make available to your campus app designer. This fixes an issue where you if there were more than 100 integrations they would not all appear in the Form Designer.
• Fixed an issue where the new Workflow Status Tracker wouldn't open on Anonymous forms.
• Fixed an issue where the skip and reassign buttons in the workflow tracker were not working on documents after they go to error.
• Fixed a small UI issue where the buttons in the workflow tracker didn't have any visual padding.
• Allowed Person Typeahead gadgets limited to a Group or Role to display more than 10 members of the associated group or role.
• Added the withdrawn status to the App Metrics dashboard Total Submissions Donut gadget
• Updated the PDF export to include calculation footers configured on repeaters.
• Updated the back end search on the History screen to use Mongo Atlas, improving history search performance for institutions with a large volume of history entries.
• Added aria-labelledby and aria-describedby input elements to the Rich Text gadget.
• Fixed an issue where after selecting an entry on a Data Lookup gadget and then tabbing focus went to the submit button instead of the next field on the form.
• Fixed issue where non admins couldn't view the workflow tracker when opening a document from the document list.
• Fixed an issue where in some circumstances the New button would not respond when the user clicks it.

Often there are times you want to add a static image or logo to a form and now you can!  We've added the new 'Read-Only Image' gadget that allows you to add any type of image you desire to the form.  Whether that's a logo, QR code, form guidance/example, process flow, etc. you can drag in the 'Read-Only Image' gadget into your form:

You can then specify the Description/Alt Text for the image, Size, and Horizontal Alignment for the image within the gadget settings:

We will soon release a new feature which includes a rebuild of the current workflow status tool to slide in from the side of the screen so that users can view all workflow details while simultaneously reviewing the connected document. It will be accessible via the 'Workflow Status' option in the document header menu options.

This feature is scheduled for release next Monday (August 5th) and you will start seeing the below prompt alerting you of the change:

Why did the data lookup go to the buffet? To enjoy all the new options on our feature menu—from checkboxes to dropdowns, we've got every data appetite covered!

Users will now be able to use long text, URL, language/country/state dropdowns, option ranges, dates, dropdowns, radios, checkboxes, or Label and ID from group lookups when sending data to a Data Lookup (Single Item) gadget.

• All gadgets that store their data as simple text are now available when listing the Required Information for Lookup on a Data Lookup (Single Item Gadget)
  • Long Text
  • URL
  • Language Dropdown
  • State Dropdown
  • Country Dropdown
  • Option Ranges
  • Date (UNIX format)
• All gadgets that have a simple pair of ID and Description are now available and will send the description as though it were plain text.
  • Radio Buttons
  • Dropdowns
• All gadgets that have ID and Description pairs, but can have multiple answers.
  • Checkboxes
  • Data Lookup (Multiselect)

Any Lookup (List) or Lookup (Multiselect) gadget that points to another dataset (aka app) will now show those results in the dropdown alphabetically (currently it displayed in the order the document was created).  If you are using the default Form Title Field of Document ID for the linked app then you will see no change in behavior.  However, if you were pointing to a different field in the app for Form Title Field you will see that the documents are now ordered alphabetically.  This should allow users to find the desired document more easily in the dropdown to select in the form.

If pointing to Kuali People in a Lookup (List) or Lookup (Multiselect) gadget you can now narrow down the list of users by a specific Role in a Group.  Simply use the new Group/Role lookup in the gadget configuration and select the desired Group/Role(s):
