Removing Kuali User Name from Headers Passed Through System Integrations

Today, when integrations are executed in Build - likely on form submission - we pass along Kuali specific headers (x-kuali-user-ssoid, x-kuali-user-id, and x-kuali-user-name as examples).

On Monday, October 4th, we will remove the x-kuali-user-name from the headers sent when an integration is executed. The x-kuali-user-name pulls from displayName in Kuali Build and is being removed as a header passed into integrations because it is a data point that can be changed (such as changing from katie.gaston to katherine.gaston) and is therefore not static. Unforeseen changes in this data point could potentially cause integration errors.

This change will only impact integrations that are explicitly relying on the x-kuali-user-name being present when an integration is run.  We recommend system administrators review integrations in advance of this change to prevent from any potential system disruptions.

Users & Groups Limited to Administrator Access Only

We've recently updated the platform to limit access to users and groups for system administrators only. This update is being made to further our commitment to providing a secure and scalable platform.  In the future, system administrators will have full access to the users and groups module and can convert system users to system administrators in order to provide them access on a case-by-case basis.

Improved conditional logic controls based upon smart gadget data integrations

Form and workflow designers now have increased flexibility in developing conditional visibility logic and custom workflow branching. 

Previously, designers could only manage advanced form and workflow logic of *Boolean data if the field type either was empty or was not empty. 

Now designers will be able to build advanced conditional logic and workflow branching conditions based upon whether Boolean data tokens added into a document via a Smart Gadget integration are either true or false.  

This new functionality will now enable designers to not just confirm if integrated Boolean fields have the presence of data (i.e. 'not empty') but will also confirm the true/false status of that data.

*Boolean field types are only available through Smart Gadget integrations and do not exist as independent gadgets in the form designer.

Users Can Now Search Dashboard for Apps

Our newest Kuali Build feature enables users to quickly search for Build apps in their dashboard.


Users can now use the search bar, located in the top right corner under notifications, to search for text in any app titles they currently have access to.  Search is case-insensitive and does partial word matches

Update Allow List to Include Approved IP Addresses

On Monday, July 8th, we will be performing system infrastructure updates that will have an impact on Kuali Build IP addresses for integrations.

As a result, please validate your Allow List currently contains these respective IP addresses.

We will be closely monitoring our infrastructure throughout the update and have built-in contingency plans to adjust traffic routing if any unexpected issues arise.

This system maintenance update will be applied on the morning of Monday, July 12th.

Update to System IP Addresses

Due to a recent system maintenance update, we've recently updated our list of Kuali Build IP addresses.  In order to prevent any system issues, we request your team allow traffic from the respective new IP addresses. 

For a list of complete IP addresses please see this published help center article.

In addition, we recommend you have additional security in place beside allowing specific IP addresses as IP addresses can be spoofed.

Removed several gadgets from being used as variables in custom email notifications

We've recently removed several gadgets from being referenced as a variable on custom email notifications.  

This change was  made with recent system optimizations in order to improve the experience of end users as the impacted gadgets were previously breaking email formatting notifications.

This change does impact previously configured custom email notifications.

The impacted gadgets removed include:
  • Rich Text Fields
  • Signature
  • Image Fields (removed from subject lines)

Workflow step configuration will now auto-save updates

Workflow step configuration, such as updating a custom email notification, will now auto-save all updates made by builders, following a similar experience as builders find with our Form Builder.  

Users can now expect their changes to be saved without having to remember to click the pesky save button. New updates will be applied live upon publishing application changes.

Access Metadata in Submissions with Read-Only Data Gadget

The Read-only Data (Metadata) Gadget allows you to add information to your form that is uneditable to submitters.


This data may come from three different sources:

  • Data on the form: Previously entered data on the form can be used as a read-only field later in the form. 
  • System metadata: Data that Build automatically captures on the form behind the scenes (e.g. document number, submission date, submitter’s email address, etc.)

Streamline Managing Individual Form Submissions

We're excited to announce the addition of the newest Kuali Build feature: Submissions.

The new enhancement will save countless hours for form submitters who now have a unified view of all form submissions. From this view, submitters can easily view and take action on current and past submissions, including viewing the current approval status of their submission and withdrawing and duplicating previous submissions.

As a reminder: System and app administrators should be aware this new feature redirects form submitters to the 'Submissions' page after a form has been submitted. The only exception to this experience is if the app has enabled "Start a new empty form after each submission" or "Show 'Start new form' button" on the submission confirmation page," in which case the submitter will be taken to those respective pages.
