Earth Class Mail Launches Tag Management Enhancements on Our Web App

New and improved Tag management features have been released on the Earth Class Mail web application. The updates to the tagging features in the MailRoom, and a new Tag management view in Settings, make it easier to tag mail items and manage Tags in Settings.

Applying a Tag on an item in the MailRoom
Applying a Tag to mail items in the MailRoom is now fast and straightforward with the “Apply a tag” extended dropdown menu, plus the addition of new search capabilities—no more scrolling through a long list of tags! We have also enhanced the Tag Search functionality with an option to quickly create a new tag when there is no match for the current search term. Additionally, we’ve redesigned the Tags view in MailRoom to provide a more organized and robust experience.

From the Inbox, navigate to:
Tag Icon on left in the mail item you want to tag > Click Tag Icon >
Choose an existing Tag or quickly add a new one



Filtering tagged mail items in the MailRoom
Customers also have the ability to filter tagged mail items from the Tags section in the MailRoom.

From the Inbox, navigate to:
Tags option in left column > Click to expand tag options > Choose tag you want to filter > View mail items with tag selected


New Tags view in Account Settings
We have also implemented our enhanced design for the Tags section under Account Settings to create a better and more consistent experience for our customers throughout our web app.

From any screen, navigate to:
Settings button > Tags option in left column > Search, add, or delete custom Tags


Quickly search and add Tags in Account Settings
Adding and finding Tags in the Account Settings section just got easier! It is now super fast and simple to search for an existing tag, plus the option to quickly create a new tag when there is no match for the current search term.

To search Tags in Account Settings, navigate to:
Settings button > Click Tags option in left column > From there, you can Search, add, or delete Custom Tags


How to promptly add new Tags

From the main Tags screen, navigate to:
Click Add a new tag link > Enter tag name and click Add to save


How to delete existing Tags

From the main Tags screen, navigate to:
Click the Delete button next to the Tag you want to delete > Then click Delete to confirm removal

A new UI for iOS and Android devices on the Apple Store and Google Play to select scanning preferences has been released. Customers can now select their scanning preferences easier and faster and enjoy a more consistent experience across all Earth Class Mail platforms.

How to set up scanning preferences
From the home screen (MailRoom) in the app, click on the hamburger menu (3 lines) on the top left and select "Settings." Then choose "Scanning" and select your default preferences for color and post-scan options.

In the iOS or Android Earth Class Mail apps, navigate to:
Settings > Then choose Scanning > Select default preferences


🙌 Note: In the "Scanning" settings, there is a toggle feature to always "Show scanning options when requesting a scan" that you can turn on and off.

Swipe Action Menu and UI Improvements on the Earth Class Mail iOS App

The new swipe action menu with color and other enhancements is now available for iOS devices in the Apple Store. Customers will experience a more familiar and consistent experience across all platforms. The updated swipe action menu now presents text labels under each action to provide visual cues and prevent errors. The use of swipe gestures can cut down the number of steps to take actions on your virtual mail such as scanning, shredding, archiving, or moving your paper mail to the trash. In addition, the updated MailRoom interface improves the readability of your read versus unread mail items for an improved and more user-friendly experience.

See how the improved swipe menu feature works
The newly updated swipe menu has labels that add additional colorful visual cues under each action. The action icons are now consistent with the status icons. The easy-to-spot visual cues provide a more user-friendly experience and make it easier to spot errors.


In the iOS Earth Class Mail app, navigate to: 
Choose your mail item first > swipe left or right for options.

Swipe left to mark read or unread


Swipe right to choose from other options including Shred, Scan, Archive, or Trash


See the new look of the improved user interface
The updated MailRoom interface helps distinguish between your read versus unread mail items by adding more contrast, increasing the width of text fields, and decreasing visual clutter.

A New Feature - Edit Sender’s Name Now Available on Earth Class Mail Mobile Apps

The new edit sender’s name feature has been released for Android and iOS devices on Google Play and the Apple Store.  Our customers are now able to edit a sender's name from their mobile device or tablet. This capability comes in handy for items with "Unknown Sender" or when the sender's name is incorrect. This allows customers to find and sort their mail faster and more efficiently from their mobile device or tablet.

How to edit the sender’s name
Navigate to your inbox and view the item’s detail screen, click on the "More" button at the bottom right. Then select the "Edit sender’s name" option. A pop-up window will open that enables you to edit the sender’s name, and then click OK to confirm it.

In the Android or iOS Earth Class Mail apps, navigate to:
Choose your mail item first > Then on bottom right > Select More > Edit sender’s name

New Search Feature Now Available on the Earth Class Mail Android App

The new mobile search feature has been released for Android devices on Google Play. With the new search and filter options, our customers can now access specific mail items faster. No more scrolling through entire lists in each folder to find what they are looking for. Search mail items by recipient, sender, tags, and scanned mail—all from a mobile phone or tablet.

How to search for mail items
Click on the search icon and enter a query that contains a combination of text, tag, or recipients to filter out mail items, or select a folder and enter a search query from there.

In the Earth Class Mail Android app, navigate to:
Top right > Search icon > Enter search query

🙌 Note: By default, the search feature will present suggested tags, recipients, and folders.
 
Click on the "See All" button to open a list of all recipients, all tags, or all folders.


How to clear a search query
Edit or remove search queries by clicking on X next to a tag. If there are no results from the search query entered, it will display no items matching for the query entered.

Check Deposits Now Available on the Earth Class Mail Mobile App

The Android™ app with a new check deposit feature has been released on Google Play.  Our customers have asked for the ability to schedule check deposits using their Android devices.  Now, you can deposit a check to any US domestic bank account with no limitations on the quantity or amount, add a new check deposit account, request a check deposit, and track the status of each deposit directly within the Android app.

Adding a Deposit Account

To add a new lending institution in the Earth Class Mail Android app, navigate to:

Sidebar > Settings > Deposit Accounts > Add Deposit Account

Have a check or bank statement ready with the following information: 

  • Bank routing number
  • Deposit account number
  • Name, address, phone number, and business name (if applicable).

Follow the on-screen prompts. 


Requesting Check Deposits

With Earth Class Mail, checks are automatically detected and tagged during the scanning process. To proceed with a check deposit request, navigate to:

Check Detected > Deposit

Follow the prompts to select the preferred bank, bank account, and choice of delivery method - overnight or standard shipping.

🙌 Note: standard shipping is free and overnight shipping incurs an express fee which will be shown on screen.

Track Deposit Status

To track the status of a deposit, navigate to:

Mail Item Details > Deposit Requested

Introducing New Earth Class Mail Integration Features!

We are excited to launch a new experience for the Earth Class Mail (ECM) integrations page that provides seamless connectivity with Bill.com, Quickbooks, Xero, Box, Dropbox, Google Drive, Zapier, and the ECM API. The ability to share, embed, and customize integrations allows individuals and organizations to automate and enhance data flow directly from the Earth Class Mail web application.  

The new experience makes it easier to manage your integrations with a dedicated view for each integration with more information and easy-to-follow setup instructions.  

Quickly Identify Integration Status

Easily identify which integrations are active by looking for the green 'Connected' status button in the top-right corner of each integration tile.

Add New Integrations

Select the "Connect" link inside the tile to add a new integration. The next screen provides a Connection Setup Guide and a "Connect Account" link. Follow the on-screen prompts to set up your integration.

QuickBooks Integration

Manage Current Integrations 

You can see all current connections and account details from the individual integration tiles. From this view, you can disconnect or rename an integration and review the Connection Setup Guide. 

🙌 Tip! For a more automated solution, we recommend creating an automation rule to send your documents directly to an integration (see next section, Automating Document Delivery to an Integration).

To send documents directly to your integrations, create an automated rule. 

Account Settings > Automation Rules > Add New

Two-Factor Authentication Now Available on Mobile Apps

We are thrilled to announce that all Earth Class Mail accounts now come with Two-Factor Authentication (2FA), allowing you to enable additional security settings on your account from anywhere, anytime, and any device.

What is 2FA? 

The 2FA feature is an authentication method requiring an additional verification factor to confirm your user identity and grant account access. Once you take steps to enable 2FA, your account is protected even if your password becomes compromised. Anyone trying to access it will have to provide a unique one-time verification code. The verification code is only available on your designated authentication device.

To enable 2FA on your iOS or Android mobile device, follow the four easy steps below.

Step One: 

Update your mobile app to the most current version.


Step Two: 

To activate your multi-factor authentication feature, navigate to the

Settings > Security page. 

Click on Two-factor authentication.


Step Three:

Choose your authentication method: Text Message (SMS) or an Authenticator App. See the next steps for both options below. 

Using the Text Message (SMS) Option:

Click the toggle next to Text message (SMS).  Add your mobile phone number or confirm an existing one. This number will be used to send you an SMS with a security code. 

A confirmation code will be sent to your mobile device as a text message. Enter the 6-digit code within ten minutes.

Using the Authenticator App Option:

To use an authentication application, click the toggle next to, Authenticator app. Then, scan the QR code with an authenticator app of your choice or set up an authenticator app on the same mobile device you are on; click the code below to copy and paste it on your authenticator app. After successfully adding the token code to the authenticator app, click Continue.

Copy the code generated in the authenticator app into the ECM app and click Continue.


Step Four:

Safeguard the backup code! 

Once 2FA is enabled, your backup code will automatically generate and appear on your screen. Please keep this number in a safe place. If you lose access to your verification method, you will need this code to access your account. 

Your setup is complete!

Trusted Devices

If you want the convenience of 2FA but don't want to generate a code each time you log in, click on the  "Trust this device" checkbox during authentication. Your device will be added to a list of Trusted Devices and you will not be asked for a security code on this device again. 

You can always examine the list of Trusted Devices by going to Settings > Security > Trusted devices.

Click to Ship on Android Devices With the Earth Class Mail App!

We are happy to announce a new feature available on your Earth Class Mail Android app - shipping! You can now manage your shipping address(es), select a carrier, and ship your mail and packages right from your Android device - anywhere in the world. Other popular features you can access directly from your Android phone or tablet include:

  • Viewing your account and mail.
  • Requesting mail scans.
  • Viewing and sharing your mail as a PDF.
  • The ability to cancel a shipment or check deposit.

Download the Android app

To enable the shipping feature on your Android device, please follow the eight steps below.

Step One: Manage your Shipping

Settings > Shipping Addresses

Step Two: Add new shipping addresses

View the shipping addresses associated with your account or add new ones.

Step Three: Start a shipment

Inbox > 

To start a shipment, navigate to your Inbox and select the item to ship.

Step Four: Shipping Cart

Inbox > More... > Add to Shipping Cart

At the bottom of the screen, choose More and then Add to Shipping Cart. To ship multiple items to the same address, repeat this process.  

Step Five: Check out from Shipping Cart 

Inbox > Shipping Cart

The next screen will show the items ready to ship with a green bar to the left of the item. Next, click on the Shipping Cart button at the bottom of the screen.

Step Six: Confirm shipment(s)

Inbox > Shipping Cart > Ship items

The next screen will confirm the shipments. Click Ship Items

Step Seven: Select shipping details 

The following steps will guide you through the shipping options, and details such as: require a delivery signature, insurance, your choice of carriers - FedEx, UPS, USPS - and customs requirements if you are shipping outside the United States. 

Step Eight: Confirmation

You will receive a confirmation screen for final review. Click OK to continue. 

Your shipment is now complete!

View Pending Shipments and Processed Shipments from the shipments tab.

Future upgrades will include a bulk selection mode for an even faster shipping process.

Extra security for your Earth Class Mail account!

We are happy to announce that all Earth Class Mail accounts now come with Two-Factor Authentication (2FA). The 2FA feature is an authentication method that requires providing an additional verification factor to confirm your user identity and grant account access. If you want to enable 2FA via an authenticator application (e.g., Google Authenticator, Microsoft Authenticator, or Authy), use the QR code on your screen. 

Step Six: 

Once 2FA is enabled, your backup code will automatically generate and appear on your screen. Please keep this number in a safe place. If you lose access to your verification method, you will need this code to access your account.
