Here are some of the Fresh Proposals Software Update – July + Mid August 2021
Some of you wanted to copy a page from one section to another. Now you can use this feature to copy a page and all of its content to another section in the same proposal or template.
As you click on the icon showed above, you will be prompted to select desired section from the dropdown list.
Once a target section in a current proposal/template is selected, you can click Copy Page to proceed. This action will copy all content on the current page and the same will be recreated/added as a new page in the desired/target section.
Indirectly this will enable you to move a page from one section to another by following same steps above, just that you will need to delete the current page in an existing section.
Some of you have requested this enhancement and it make sense to upload the signed proposal PDF document to the HubSpot deals page. Remember, the proposal PDF will be automatically uploaded to the deal page after all designated signatories have signed the document. .
Previously you needed to apply filter to enlist active proposals. Many of you have requested an enhancement to set the default proposals list as active proposals.
So here you go. You have a default tab in proposals listing that shows active proposals. You can also see the current count of active proposals. That doesn’t mean you will lose access to all proposals, No! You can still access all proposals (in draft, sent, signed, accepted, etc statuses) in All Tab.
Remember, you can also use search filter on the right side to further refine your listing based on client name, status, year, proposal name, etc. The proposal count seen along the Tab title displays filtered proposals which meet search-filter criteria.
You can see same set of components/blocks are available in this vertical menu bar, instead of three horizontal rows in the right side properties panel. This new tool bar is closer to proposal pages making it easier to drag-drop or click to add a new content blocks to your proposal document. This bar is also setting a stage for upcoming, new components to be added in the toolbar in proposal/template editor.
Just in case if you have missed it, Snippet has got a new icon.
We also realized the Proposal Details or Template Details tab in the editor was accessible only when clicking the Info/Arrow icon in the top. Now you will see Proposal Details tab, Template Details tab always accessible in the top of the right side properties panel.
It is interesting to see that many users are using self-sign option regularly. By and large, it is a good practice to include sender’s signature in the proposal and have it signed before sending the proposal to client/prospect. While viewing/previewing the proposal document, system would show who all are signatories and their respective statuses (signed or pending). However the internal proposal summary page, the system wasn’t indicating status of signature for the proposing side. This enhancement clears such doubts.
You can track the status displayed as Signed when designated signatory from sending side signs the proposal.
There can be multiple signatory from sending as well s receiving side. You can track it all
Remember, if there is anyone without signature assigned to him/her, the signature-status will not be displayed for him/her.
With this update, we have introduced three new client-view language translation
As you set the Right To Left (RTL) settings for languages like Arabic or Hebrew, and also set client-view language preference to Hebrew/Arabic, it will look like this
Let us know in the chat, if you find any of the translated text that needs improvement.
In order to bring further clarity to identify proposals based on the status while scanning the list of proposals, we have added icons to the card for proposals that are Sent or still in Draft status.
With Stripe payment integration, you can set percentage of a proposal value to be collected as advance payment while creating a proposal. Now you can override this percentage later and also enable/disable Stripe payment for a given proposal while/after editing the proposal. This option was already available in proposal editor > Client View option.
Now this option is available in Proposal Details page. You don’t need to open proposal editor after client has viewed your proposal (i.e. no need to unlock it).
Many users (including us), keep editing proposal and move to preview it. While previewing the proposal, we may realize that client/contact details should be updated and I need to go to clients page/ or if certain settings in the account setting page need to be changed. The only you were able to go back to main navigation, was going back to the editor and then to main page.
It involved unnecessary going back to editor (one more click + page loading time). We listened to you and improved the navigation options. If you are in the proposal preview, you will be able to jump back to proposal listing or proposal summary page or dashboard. One click and you are back to the main page.
Proposal emailer was the similar story. If someone has moved to the proposal emailer page via proposal editor and if s/he wanted to jump to the proposal summary page, s/he had to go through proposal editor page before navigating to Proposal Summary page. But NO MORE hassle.
You have options to jump to proposal listing or proposal summary page or account dashboard in a single click.
While scheduling a reminder email, one may not realize that it would get scheduled over the weekends (Saturday, Sunday). Now system will display a warning (not error) that the reminder email will be scheduled over the weekend.
While most users may not want to schedule/send reminder emails to their client over the weekend, there are use-cases wherein some users do want to send reminder email specifically on weekends. Though it may sound counter-intuitive but they would like to schedule reminder email only if they see such warning while sending the proposal email.
Though we didn’t declare it before, you may have noticed that the editor shows dotted lines of alignment assist as you drag a content blocks on the page. It also enables snap-to-grid. While it works well in normal situations, if content blocks on a give page get smaller and/or crowded, snap-to-grid feature may not function effectively.
To avoid challenges in aligning content blocks in these situation, we have enabled a temporary option in the editor. This option named “Assist Alignment” is enabled by default. If you want to manually align the blocks/move to desired place, you can turn off this option.
Remember, this option is not preserved or saved as preference; for the next document editing, it will be reset to Enabled for the next document editing page. Going forward, we would like to make the alignment assist/snap-to-grid functionality smoother that you don’t have to turn-off this option or even use this option.
This enhancement was requested by few users. They don’t want to use/view sub-total column in the fees table. It can be useful if all your fees included in the table are either fixed or ‘content-type’; since sub-total column does not make much sense in this case.
Following screenshot shows the way fees table appear if this option is turned off. Similarly, you need to decide whether you want to turn-On or Off this option for the fees you want to present to your client.
As you connect Stripe payment gateway/ integration, it will be displayed in the activities card of the main dashboard. It is useful when there are multiple admin users and one of them connects or disconnects such integration, it will be logged in activities.
If you are scheduling reminder email and for whatever reasons you want NOT to send the reminder email, now you can uncheck the box for reminder email in the proposal emailer. Unticking the checkbox will warn you and ask for your confirmation. Once confirmed, the email will be removed from scheduled queue.
It should be noted that if reminder email is already sent or client has viewed, this option can not be used.
We fixed quite a few bugs, enlisting few of those especially if you have reported those to us.
If you are using HubSpot, now you can connect your HubSpot account with Fresh Proposal.
With this integration you can
To know more about how to configure/set up and use HubSpot + Fresh Proposals integration, refer this help guide.
Though one could move textbox, shapes, images, signature, fees table, content table on a given page, it was difficult to move multiple blocks together.
We have enabled grouping of blocks so that you can drag them together and place at other location on a page. If those blocks are already aligned, you don't have to worry about aligning them individually, as you can moving them together.
If you have locked few items and they are included in the grouping; they will not be moved. So you don't have to worry about locked items being tempered (unless they are unlocked). Grouping feature also exclude repeater elements in the editor. You can open repeater mode to move repeating blocks together.
See the grouping feature in working.
Check video about how it works and what happens to locked items here:
How did client view your proposal : was it on mobile or desktop?
This is important for some of you to understand the kind of interaction client has with your proposal.
Yes, you will know whether client has viewed your proposal on mobile or desktop and how many times on these kind of devices.
To distinguish proposals in the proposal listing based on status, system shows statuses like Signed, Accepted, Locked (Client Viewed), Rejected in the proposal card.
So the proposals listed will look like this.
After a proposal is viewed by client and reopen by proposer to make changes, clients should know if the proposal has been modified or not after they have viewed it last time. Though they would see the changes (audit log/trail) in signature certificate in the proposal PDF, there was no easy way for client to know about it.
For transparency purpose, system now shows "Last Updated On" field in the client view.
If you would like to search proposals by client name, email id, you can do so using search box.
If custom branding is enabled for your account, you can use your company logo as a favicon. This will be viewed in the browser tab along with company name by your colleagues as well as your clients.
The way custom logo and favicon will look like for your account is shown below.
You can mark a given custom field as mandatory and proposer, team members will have to set its value otherwise corresponding proposal/client company/contact/user information can not be saved.
Once it is marked as mandatory, it will be displayed in corresponding page as mandatory with asterisks as shown below
Though this enhancement was already included in previous update, it was not covered in previous blog post.
If you use profile picture for yourself and for the client, it will appear like this, also in proposal comments to make the conversation filled with people.
Last update we introduced redirect URL option if you would like your clients to be redirected to different page after s/he signs your proposal. Few of you suggested adding a notification and introducing a delay before redirection; so yes, we have implemented these suggestions.
If contacts are added to a client company afterwards, this trigger will help you synchronize those contacts added later.
'Show Job Title' preference in settings
You can turn off the Designation field for the client who signs the proposal in Settings > Miscellaneous. Though it would save the preference but in the page/ UI it would still display old value. This issue is fixed now.
Designation field in the signature box
The word Designation was confusing many users. In this update we have updated the label to display job Title instead of Designation.
Copy page was not showing page number, default page shadow in the sections lift
If you use copy/duplicate page feature, the page would be added to the document as well as in the sections list on the left side panel. It wasn't displaying the page number, shadow in the left panel. This is now fixed.
Delete option in the top of a textbox, fees table, content table moved inside
Corrected the UX glitch, users would inadvertently delete textbox, fees table, content table, etc. The Delete icon is moved clicking on the hamburger menu button (three dots)
Deleting a textbox doesn't retrieve text with Undo action
Deleting a textbox and undoing this change would not retrieve its content, this was recently broken, it is fixed now.
Proposal comment email to client
When client or proposer would respond to comment made by other person, the email notification sent to him/her is now tabulated and contains link to the proposal (client specific link for client and proposer link for proposer)
Thank you for your support and onward and upword!
Fresh Proposals can be integrated with Xero accounting software. You can connect one of the organizations in your Xero account, share company-contact details and once client accepts the proposal in Fresh Proposals, you can generate invoice.
The cool part is, you can specify percentage of proposal value for which invoice is to be generated.
Once invoice is generated, you can download its PDF, also open it in Xero to view, edit it before approving. The invoice generate through Fresh Proposals looks like this: with invoice number, items, quantities, tax-rate, sub-total, total, etc.
You can check a quick video walk-through here or go through Xero Integration help guide.
You can view client-proposal interaction analytics for all sections. Once click on the button 'Show All Analytics', it will display all viewed sections and their data. You can select client contacts to filter specific interaction data. If you have multiple client-contacts who could be acting like: decision maker, influencer, user; you would know exactly and distinctly what are their interest level.
As a proposer you can now save your signature image in your profile. When you (as a part of proposing team), self-sign the proposal and use signature image option, you will be asked whether you want to save the signature image to your profile so that you can reuse it next time. These images are listed in My Account/ Profile > eSignature tab as shown below. You can add/ remove if you would like.]
Basically, next time you are self-signing a proposal, you will be able to use one of these signature from the dropdown (and you also have option to upload new image if you'd like).
Once saved, the eSignature image will be available to use for self-signing next time as shown below.
You don't want to change certain content block (say textbox, signature, shape, image, fees table, content table, etc). You don't want to its position to change or content or color, etc properties to change.
Now you can lock a content block using the lock icon shown below.
Once a component/ block is locked, you can not make changes in it, as shown below.
[caption id="attachment_11697" align="aligncenter" width="595"]
Once a content block is locked, its properties panel on the right side is disabled for changes.
It can be done for images (as well as shapes, signature, content table, fees table, etc) as shown below.
Now you can remind your client to make advance payment. You can use predefined payment reminder template or customize its content. You can also schedule the payment reminder email to be sent after a client has accepted your proposal but hasn't paid the advance amount.
There are few conditions for you to use Payment Reminder email.
Some of you have requested a redirection URL feature: to redirect your clients to special page after s/he accepts your proposal. Yes, now it is possible to redirect your client to a different page. You have this option to enter desired URL in the Client-View Option.
Remember, Redirect URL option will be available for proposals that do not have Stripe connected, enabled (since after accepting proposal client is prompted with Stripe pop-up instead).
For some of the language where the reading/writing direction is from right to left (RTL). We have enabled support for RTL. This option is available in Client View Option. It will reverse the way one types in editor, fees table and content table;
You will be warned about change in editing direction and to save the changes before it.
You will notice the way you can type in the textbox, fees table and content table gets reversed.
The clients viewing the proposal will see the interface RTL.
We would like to thank Alex K, Ibrahim M, Adam P for helping out with this feature.
Got a preferred language and don't want to set it again for next proposal?
We have introduced client view options at template level too. You can set preferred language here and next proposal generated from this template will have same language UI displayed for the client.
We have added
We have added couple of new default variables: Valid till date and Proposal signed date
Valid Till Date
When you use this placeholder/ dynamic variable in the proposal text or email can inform client till what date the proposal is valid.
Proposal Signed Date
When all signatories for a given proposal eSigns the proposal this date will get value of the date when last signatory eSigns it. If there are pending signatures, the variable value will be unavailable/ blank.
Added 16 currencies including. Estonian Kroon, Mozimbique Metical, Mauritian Rupee, Namibian Dollar among others.
Some of you wanted to capture the PDF download activity by your clients. Now you can find this event/ activity in Proposal Summary > Proposal Activities tab.
It can be helpful to know that client wants to look at PDF version of your proposal. Though we recommend enable clients to view your proposals online to understand their interest levels better.
Updated discount field displayed on the fees table to have negative sign to it (both at row level as well as in the footer).
For a section with multiple content blocks in it (in one or more pages), you can use actions for blocks/components listed in it. These actions are: reset the position of the block, bring it to the top or delete it.
Date Pickers
We fixed issue with the date picker for Due date, Valid till date : while updating date, it wasn't displaying correct month in the selector menu. We have updated the date picker component in proposal creating wizard, proposal editor and proposal details page.
Proposal Analytics: Using Brave browser
We noticed Brave browser was blocking interaction analytics using its internal tools. We have fixed this issue. Now if your clients are using Brave browser, you will be able to understand their interactions with your proposal.
Signatures assigned, right side panel says not assigned to anyone
[caption id="attachment_11711" align="aligncenter" width="317"]
Section Page Size Warning
Though we don't recommend using mix sized pages (A4, Legal, Letter) in a given document, but now, system will warn you if you are mixing different sized pages in one document.
PDF Import - language issue, import timed out
We updated the PDF service and during this update, there was a glitch about importing PDF files - it wasn't correctly saving text available in Japanese, Chinese and such languages. This issue has been fixed.
You wanted to offer your product/services pricing to your clients as packages e.g.
You would like your customers to select one of these packages. Fresh Proposals enables you to create multiple packages using fees table option as shown below. You can name the package, include desired fee items in that package, add next package(s) in the similar way.
Once clicked, client can view his/her selection.
And once a package is selected by client s/he can view proposal price displaying sis/her selection
You can find more information about this feature here.
If you have a contract document or some information in a PDF file and you would like to include it in your proposal/template, you can, now import PDF file to your proposal/template in Fresh Proposals.
The import PDF option creates a section in section library. You can import a PDF file either in Content Library as shown below
Or you can import it in the proposal/template editor as shown below.
Once a PDF imported successfully, all its pages are added to a section as images. You ca add textbox, signature boxes, input fields on top of these pages to customize the further You can find more information about this feature here.
With this new feature you have more design controls, now. You can set page setting for your proposal and they are applied to all pages in your current proposal.
You can set page background, shadow, corner, border properties and it will appear like this. You can preview these settings right in the settings mode as shown below. You can view the clear preview by exiting Style Settings Mode.
When previewed, it will look as shown below (of course, you can change, control its color as you wish)
We have added Serbian language support for client interface. So if you have clients who prefer to use Serbian language you can send a new proposal with full confidence by enabling Serbian language option enabled. We would like to thank our users who helped with this translation.
Your clients as well as you already have the option typing eSignature. Now you also have the option of of uploading signature image as shown below
You can preview the signature image right in the box, before signing it.
You can name an email template e.g. Initiating English, Initiating French, Healthcare Reminder, Real Estate Reminder, etc
Note: For existing email templates, your subject will become your email template name.
We have redesigned emailer significantly. Now it will appear as a flow of emails
1. You can select email templates to use and apply/set it for current proposal
2. You can set schedule of follow up email after number of days once first proposal email is sent to your client.
3. You can view scheduled reminder date if initiating email is already sent or you can see estimated reminder date if initiating email is supposed to be sent at a given time.
You can include proposal total as a part of your fees table as shown below. To include proposal total in the fees table, you will need to enable the total option as shown below.
If you have sent proposal to multiple contacts for a given client, you can track what's happening for each individual contact. You can check whether they have viewed your proposal, signed it or just accepted it.
Earlier if you have to make non-content related changes to your proposal and if client has viewed your proposal, you would have to unlock the proposal. Now this is addressed, you can view non-content related (mostly client view options) in
Proposal Summary > Proposal Details > More Options
To change the language or proposal category or Accept/Reject button, you don't have to unlock the proposal (you don't need to open the editor).
If your pricing table has all fees as Fixed or Content, system was not displaying the quantities column. But now we have updated it, to utilize the space for other columns like Fees Title.
Like any other software product, we have fixed quite a few issues as a part of this update, primarily in Comments, editor, emailer and mostly in the UI areas.
Separate flow/ notifications for Proposal Acceptance and Signing
Based on users' feedback we introduced 'Accept' as an option for clients to approve your proposal/document. To make your client 'Accept' the proposal document, you can simply select a client contact and NOT assign any signature to him/her. Client without eSignature assigned to him/ her will not be prompted to eSign the document.
Also, all signatories, decision makers can see who has signed and who is yet to sign.
Based on your feedback, we realized of certain combinations of signatories (sign) and non-signatories (accept) involved. To facilitate this, we introduced new statuses to show you current status of the proposal.
New statuses
It also shows if client attempted payment and if succeed or failed, you will be informed as well as shown as a proposal status.
Pabbly is integrator/automation platform which allows you to connect two different applications and automate your business flow. We are already supporting Zapier integration. It seems that businesses are finding-using alternative to Zapier as we received quite a few requests to integrate with Pabbly.
You can add variables in email template and check their values in email preview.
improvement Set default email templates
You can set default email template to be used for Reminding and Thanking emails. These will be default Reminding and Thanking emails for subsequent proposal sent through software.
a. At account level
When you mark a given email template as default, it will be shown with a Blue marker as shown here
You can change and set other Reminding/Thanking email template as default as shown here
b. At proposal level
You can change the account level default in the context of proposal e.g. for account level proposal Reminding/ Thanking email is in English and for a particular proposal, you would like to set it as French. so you can change it in the proposal emailer wizard as shown below
improvement Thanking, Reminding Templates Preview
As we noticed few users were getting confused and were sending 'Thanking/Reminding' email instead of 'Initiating email' and of course, their client couldn't find proposal link (as they were shown download proposal PDF button and proposal PDF wasn't generated since the proposal was not signed then).
Email templates selection sending is changed in proposal emailer. Reminding, Thanking email templates can not be modified and sent manually. They can be modified in Settings > Email Templates and will be sent automatically.
Reminding and Thanking email templates can be previewed but it can not be edited or sent manually.
improvement Unlocking Proposal
Editing a locked proposal will give you a proper warning about what it means to unlock the proposal; depending on whether it is just viewed, accepted or signed by client. e.g. Unlocking a signed proposal will cancel signed signature
improvement Proposal Listing Filter
Proposal listing filter to show accepted, signed status separately
improvement View Landscape Proposal
Client's viewing experience for landscape proposal is much better &easier for eyes. It has side-panels collapsed and buttons are positioned on the sidelines
improvement Active Fee Row in The Fees table
Fees table to highlight currently selected fee row
fix Issues
"To allow clients enter/submit information while they accept the proposal" - this feature has been requested by many users. We have introduced this feature in the most recent update. It is similar to textbox, of special kind. You can set default message to be displayed, make it mandatory/optional, resize, set color, etc.
You can drag-drop the Input Field block to proposal page.
You can set its properties
How to use it (help guide, video guide).
If the field is mandatory, clients can not accept/sign-off the document without entering requested details.
If your VA, pre-sales team is creating, drafting a proposal/ contract document, now s/he can assign a eSignature to you. You can have multiple representatives from your side as well as multiple representative from client side to sign the proposal.
How to use it, here is a video guide.
As Fresh Proposals is used across countries with different locales. We have been supporting multiple different currencies however users wanted to display proposal pricing format according to locale of their clients, e.g. clients in Germany use decimal separator as comma (,) instead of dot (.); thousand separator as dot (.) instead of comma (,); whereas people in France use space ( ) as thousand separator.
So when someone in France/ Sweden is looking at your proposal, it will look like as shown below.
When the same proposal is seen by someone in US, UK, India, it will be seen as below
Here is a video guide about it.
When you have multiple email templates configured in your account settings and you would like to use one of those as default as 'Reminder' or 'Thanking' rather than system default one, you can now set default Reminder, Thanking email template.
You can set up another email template as default one as shown below.
Here is a video guide about it.
You can also override the default template in your proposal emailer.
If your account has Stripe payment enabled and proposals with non-zero fees table (proposals with some value) are sent to client, client will be prompted to make advance payment after a proposal is accepted.
This improvement will notify if client payment of advance proposal amount is successful or has failed.
Based on one of the user's suggestion (and we are with him) regarding better usability, viewability of page thumbnails in the left side pane - we have updated the listing of page thumbnails. Instead of displaying small thumbnails of section pages one below other, they are now organized horizontally three page thumbnails in a row and next thumbnail will be added to a row below it.
You can set the label for proposal button used in the initiating (first) proposal email
As a further improvement to Snippet features, now you can add Content table to Snippet library and you can use it across proposals and templates

We are redesigning Fees table. As a part of this process, we have enhanced the table layout such that fees title/description will get more space by reorganizing column/ information. For recurring fees are identified in Sub total column as hourly/ monthly/ yearly or quarterly.
As proposals are sent for client review, if you would like to track those pending proposals, you can use new filter Unsigned. Selecting this filter will give you list of proposals that are not yet accepted or rejected by client. You may want to use this filter to re-approach clients or conclude proposals status.
Proposal custom variables are now grouped as a separate tab, to organize the information and navigate better. You will notice a separate tab along with proposals details panel on right side in the proposal editor.
Proposal category is inherited from the template you have used to create it. You can view/ update proposal category in Proposal Details panel on the right side in the proposal editor. To add/manage proposal category, pls refer this guide.

Beside 25 languages we've added, we started receiving feedback about additional language support as well as improvement to existing languages available for client-view.
We will continue to improve existing languages translation based on the feedback received.
Users were unable to move items from one page to another. We heard you. We have added Snippet feature. This is clipboard kind of a feature that allows you to save content block(s) that you'd like to reuse. It is mini-version of page copy or section copy. The best part is, once a content block (shape, image, fees table, text box) is added to snippet it can be used in the same proposal, or different proposal or same template or different templates; even by other team members.
Find more info about how to add to snippet, use it, manage elements in snippet here.
